The Houston office of the Local Initiatives Support Corporation (LISC) seeks an Administrative Assistant to work closely with the Deputy Director and will be responsible for key functions relating to general office operations, scheduling and communications.


Responsibilities:

  • Develop and enhance processes and procedures to effectively manage daily operations of LISC Houston office.
  • Greet visitors and answer phones.
  • Distribute incoming mail and prep outgoing mail and packages.
  • Manage the supplies and equipment for the office.
  • Help support the general office appearance including filing.
  • Support new staff on-boarding including organization a local orientation, new hire forms and equipment/log-ins.
  • Process invoices and corporate credit cards for payment and track payment status.
  • Support program staff with grant and consultant disbursements.
  • Provide scheduling and expense report support for Executive Director as needed.
  • Be the primary contact for vendors, building management, IT department, and other departments at LISC National.
  • Handle staff travel arrangements including car rentals, flights and hotels.
  • Provide support for meetings, trainings, conferences and special events including venue and food arrangements.
  • Support office communications including newsletters and social media.
  • Carry out special projects and other duties as assigned.

Qualifications:

  • Undergraduate degree from an accredited college preferred or commensurate years of relevant work experience may be considered as a proxy.
  • Minimum 3 years of experience supporting office operations.
  • Ability to work both independently and in a collaborative team environment with co-workers and representatives from the nonprofit, philanthropic, public, and corporate sectors.
  • Proven ability to work simultaneously on multiple tasks and projects, take initiative, set priorities for a challenging workload, and be a positive, solution-oriented professional.
  • Excellent research, writing, analytical, organizational skills, detailed and timely attention to reporting requirements and deadlines.
  • Proficiency in Microsoft Office suite, particularly Microsoft Excel. Candidate must also have the capacity to learn and navigate new software.
  • Strong verbal and written communication skills
