The ongoing COVID-19 pandemic has impacted how and where we do our work. During this pandemic, we are onboarding new employees using a hybrid approach. The Department supports flexible work arrangements. Depending on the business need and description of the position, we have options that range from fully remote, hybrid, to full-time in the office. The Health Information Office develops, implements, and maintains the Department’s Health Information Technology (Health IT) and related Information Technology (IT) infrastructure, while coordinating with the Governor’s Office of Information Technology and other stakeholders on HIT and IT projects that impact the Department. Major responsibilities of the Health Information Office include enhancing and maintaining the Department’s health care claims payment system (Medicaid Management Information System or MMIS), client eligibility system (Colorado Benefits Management System or CBMS), the PBMS system (Pharmacy Benefits Management System) and the BIDM system (Business Intelligence Data Management) by developing requirements documentation, reviewing detailed system design approaches, proposing systems and integration solutions to program staff and implementing systems solutions to support Department initiatives. In addition to aligning the Department’s infrastructure, this Office creates a foundation for emerging Health IT solutions that will be necessary to implement the Department’s transformational vision for the future of Medicaid. The Health Information Office is composed of the Medicaid Enterprise Integration, Data & Alignment Division, Health Information Claims Systems Division, Enterprise Project Management Office Division, Health IT Division and Health Information Purchasing and Contracting Services Section.
The Administrative Unit provides office, administrative, program and hiring support to the Health Information Office and the Medicaid Operations Office and acts as a consulting liaison for the Offices with the Human Resources Section. This unit consists of five positions (program and administrative staff) to fulfill the day-to-day paraprofessional requirements of the Health Information Office and the Medicaid Operations Office.
What you will be doing:
This position exists to provide general administrative support, travel and budget support to the Health Information Office and the Medicaid Operations Office. This position requires established experience working on a team as daily interactions and collaboration with the HIO/MOO Administrative Unit to ensure the day-to-day operations, including greetings visitors and accepting deliveries in the office, for each office is operating efficiently and effectively from an administrative and technical perspective. The position provides assistance and support in the areas of budget tracking and updating, travel scheduling and coordination with multiple staff within HCPF, entering accounting and contract codes into applications, purchasing, timekeeping, records management, and document preparation. The position prepares documentation to obtain authorization as it relates to expending operating funds, prepares required travel documents, accounting and purchasing materials, guidelines and processes to ensure office compliance.
MINIMUM QUALIFICATIONS:
Experience:
Three years of experience as an administrative assistant with experience in the following areas: Microsoft applications experience such as word and excel (Google application such as Google doc and Google Sheets experience is beneficial), spreadsheet tracking, appointment scheduling, entering data into a database or application, customer service, or procurement and travel coordination.
Substitutions:
Appropriate education will substitute for the required experience on a year-for-year basis.
PREFERRED QUALIFICATIONS:

Prior experience working with Health IT or health care administration

Prior experience creating spreadsheets in Microsoft or Google

Exceptional writing and proofreading skills

Experience developing reports using metrics/data from multiple sources
Prior experience supporting multiple levels of staff within an organization

Prior related State of Colorado experience
