Accounting Assistant
Location: Gainesville, Florida
Job Type: Full-time
About the Position
We currently have an opening for a full-time Accounting Administrative Assistant in our Gainesville office. We are seeking a team oriented individual who is a self-starter.
Essential Functions include, but are not limited to:
- Maintain adequate supplies for the office
- Coordinate any vendor needs
- Data entry, scanning, photocopying, binding, assembly and filing of various document types
- Verifying documents, and other clerical support functions, when needed
- All tax return related items (i.e.: print, assembly, packaging, mailing, to include extensions)
- Facilitate incoming and outgoing telephone calls with clients, vendors and other key points of contact for the Firm when needed
- Manage incoming/outgoing mail as needed
- Provide backup for receptionist on an as needed basis
- E-delivery of returns

Education and other Requirements
- High School Diploma or Equivalent
- Should be strong in Microsoft Office including Excel, Word, and Outlook

Essential Functions include, but are not limited to:
Tax Return
- Scan-in all incoming tax information/records from clients once they have been logged into XCM
- Scan prepared work-papers into client archives
- Create and print tax covers for the tax year
- Scan IRS acceptance, signed 8879, and XCM RS to client archives
- Adding charge sheet charges for each tax return that is processed
- E-delivery of returns
Supply Ordering
- Monitor copy machines, printers, main Fax machine for repairs and order all toner.
- Order copy paper
- Order kitchen and bathroom supplies (toilet paper, dish & hand soap, air freshener, paper plates, etc.)
- Order Office Supplies
- Monitor and Order envelopes and letterhead
Miscellaneous Tasks
- Help keep informed of office needs and try to find solutions (building maintenance, I.T. issues, supply likes/dislikes)
- Fill in for receptionist duties regarding arriving clients, the Postal and FedEx tasks, mail distribution, assign tax tasks, client pickup of tax returns and moving them in XCM
- Be back up for sending email requests to Billing Dept. for changes in Practice Management (phone numbers and addresses)
Tax Deadline Days specific
(Tasks also for day before deadline but full day not required)
- Prepare all certified & priority mail (label stamp receipt & green signature cards-client name and what is being sent)-includes: all Extensions, 1040V payments and quarterly estimated tax payments (after copying checks and matching vouchers and scanning into client archives)
- Handle clients that come in person to sign 8879s/take tax payments
- Post office run for certified mail & any FedEx drop-offs
- Applying postage & distribute incoming mail
Job Type: Full-time
Pay: $15.00 - $18.00 per hour
