Summary:
Promote The Guild School to drive enrollment and manage admissions procedures promptly and effectively, ensuring that students are enrolled in accordance with requirements.
Primary Job Responsibilities:
- Manage the internal process for evaluating referrals, including developing an intake profile, evaluating documentation for appropriateness and completeness, coordinating staff review of student documents, and managing the decision process.
- Schedule and conduct initial school tours of The Guild with interested stakeholders (parents/guardians, school district personnel, advocates, attorneys, etc.).
- Manage the student enrollment process, including preparation of student records, coordinating onboarding tours, and disseminating necessary information.
- Coordinate intake observations (on-site or off-site) and follow up meetings with all parties.
- Manage internal and external communication, including student review, requests for additional documentation, and follow-up with all parties throughout tours, observation(s), and decision process.
- Communicate intake plans with referral sources and appropriate Guild staff members.
- Generate letters to send to stakeholders at the conclusion of the admission process.
- Assist the Admissions Director in developing, maintaining, and executing a communication plan to stakeholders of prospective and enrolled students.
- Assist the Admissions Director in preparing a marketing plan that promotes The Guild’s visibility and referral recruitment efforts.
- Maintain ongoing relationships with referral sources and share updates frequently.
- Attend recruitment related events and serve as The Guild’s representative.
- Develop and monitor statistical records designed to improve referral recruitment strategies, yield management, forecasting, and overall operational efficiency.
- Complete required documentation, including all contact with stakeholders in admission databases and admission checklist steps.
- Update databases on an ongoing basis (process steps, referral source contact information, status updates) and generate reports on a regular schedule and by request.
- Maintain census data and complete DCF vacancy notification.
- Other related duties as assigned.

Qualifications:
- Minimum of a Bachelor’s Degree. Knowledge of special education desirable.
- At least two years of experience working in admissions related field.
- Professional level verbal and written communication in English
- Commitment to excellent customer service
- Demonstrated experience with problem solving
- Proficiency in Microsoft Office Suite and Outlook
- Must meet Massachusetts Criminal Offender Record Information (CORI) background check requirements.
