Major/Essential Functions
Prepare receipt packaging for packages received and enter in Techbuy to include sending invoices to Accounts Payable for payment processing.
Assist in tracking open encumbrances in system by requesting status on items received from requestors and requesting invoices from vendors to send to Accounts Payable for payments.
Working under the moderate supervision serves in support of the daily clerical and organizational tasks required for AVP/CIO and IT Finance Managing Director. Primary functions are to assist AVP/CIO with day to day administrative duties. Manage, memberships and calendar for AVP/CIO. Organizes and sets priorities including special requests to include travel, participation in meetings as requested by AVP/CIO and coordinating schedule of AVP/CIO.
Coordinate all meetings, one on one and video conference, in direct support of the Associate AVP/CIO. Assists with departmental meeting set-up, room reservations, ensures CIO conference room is functional and organized. Maybe requested to coordinate catering.
Submit standing orders on behalf of IT department, through Tech Buy punch out system, such as Staples purchase orders and Direct Payments such as Sierra Springs invoices. Process includes the distributing of purchases to corresponding personnel and reconciling monthly standing orders.
Assist with telephone support for the reception area of the IT department. Screen all telephone calls in an efficient manner.
Coordinate vehicle operations: daily calendar reservations, report logs, maintenance and all necessary paper work to maintain vehicles for Information Technology. Perform pre and post IT vehicle inspections.
Occasional Duties
Reconcile communications reports and maintain in administration files.
Responsible for issuance of pagers for all TTUHSC faculty and residence. To include replacing, shipping and receiving, and billing of pagers.
Serve as IT liaison in matters of picking up and distributing mail for departments internally and externally. Accompany IT personnel to miles warehouse to check out inventoried items as requested.
Serve as back up for designated tasks as assigned.
Assist with coordinating of IT personnel scheduled interviews and assist with internal IT process for new employees for all IT an CIS personnel.
Maintain the badge and Key matrix of IT.
Required Qualifications
Bachelor's degree in job related field plus one year of related experience; OR
A combination of related education and/or experience to equal five (5) years.
Preferred Qualifications
Ability to prepare PowerPoint presentations, professional correspondence and complex administrative office duties.
