The Assistant/Associate Director of Admission for Technology and Operations is responsible for maintaining and optimizing the institution’s customer relations manager (Technolutions Slate) and other technology tools designed to enhance recruitment. The Assistant/Associate Director will oversee application processing within the system, ensuring data quality, data security, and work closely with Information Technology Services. While we prefer this candidate would work on Truman’s campus, candidates requesting a hybrid or fully remote work arrangement will also be considered.

The Assistant/Associate Director will collaborate extensively with traditional and digital marketing strategies and collaborate with the Director of Admission in developing a comprehensive communication strategy. The Assistant Director for Technology will work with other members of the leadership team to develop and oversee implementation of new technology solutions, building out systems, developing further reporting, and overseeing the quality of our Admission Slate instance. The Assistant Director for Technology also serves as a member of the Admission Leadership team charged with knowledge of best practices specific to technology influence on prospective students and their family members. The Assistant/Associate Director should be knowledgeable of and maintain knowledge of best practices for CRM use in higher education and other industries.

Admission Technology

  • Manage day-to-day usage of the CRM, including building and managing communication plan campaigns
  • Serve as liaison with Information Technology Services and external technology providers
  • Help envision ways to incorporate the use of technology into processes as we strive to make powerful and timely connections with prospective students, including building out our instance of Slate to better utilize tools like portals, ping data, and more sophisticated analytics
  • Serve on selection committee for admission technology products during RFP and selection process
  • Actively participate in implementation of future admission technology products
  • Train admission staff on CRM usage and best practices in optimizing technology to enhance recruitment practices
  • Build customized dashboards, provide daily/weekly standard analytical reports needed as well as ad hoc report requests, and research and provide analytical support to key decision makers for feedback and improvement of recruitment strategies
  • Serve as the primary owner of all data and ensure data integrity between Slate and Banner
  • Collaborate with Director of Admission in managing strategies for search and lead generation
  • Manage the lists so that names are removed as needed and data files are sent to mail houses as needed
  • Help oversee use of Slate for Joseph Baldwin Academy (summer middle school camp) and international admission within our instance of Slate

Marketing & Communication

  • Collaborate with Director of Admission and Admission Leadership Team in development and maintenance of a comprehensive, multi-modal communication plan

Office Leadership

  • Supervise admission technology and operations team
  • Assist with comprehensive efforts to effectively market the University and manage projects while meeting the needs of incoming and current students
  • Develop creative solutions to staffing and processes related to changing needs or direction
  • Serve as a resource to admission staff members and the greater University community in representing Truman State University
  • Work with the other senior staff members to create a supportive, enthusiastic, professional and efficient work environment
  • Lead regular meetings with Technology team members to manage workload, monitor event and visit progress and assign new projects
  • Serve on the admissions leadership team and other IT committees/teams

Professional Development

  • Participate in online seminars regarding relevant professional issues in an effort to keep abreast of market changes and/or opportunities to enhance our operation
  • Attend professional conferences off-campus, as requested and as schedule permits
  • Maintain membership with Missouri ACAC and other Technolutions Slate member groups

Special Projects and Other Duties

  • Assist with campus tours and visits (as needed)
  • Actively provide and participate in departmental or university trainings
  • Provide support in answering the office phones, responding to questions, and following-up on requests
  • Research and report on admissions processing trends and best practices
  • Other duties as assigned

Required Qualifications

Required qualifications include bachelor’s degree; knowledgeable on best practices to optimize technology with stakeholders with varying ability levels; ability to explain complex processes with external stakeholder groups; operational thinking; and willingness to work non-traditional hours, including early morning, evening and weekends as needed.

Desired Qualifications

Preferred qualifications include 3 to 5 years experience with a customer relations manager, Technolutions Slate; previous experience with Ellucian Banner or other ERP; and previous supervisory experience.
