Job description
Since 2002, the team has been responsible for managing the parking of approximately 1,500 patron vehicles on a daily basis while working diligently to foster good will, effective communications, and positive working relationships with veterans, employees, management, and visitors.
Collectively, the on-site and off-site staff:
- Manage the parking of approximately 8,000 veteran and transient visitor patrons on a weekly basis.
- Process credit card and check payments of 1,500 employee patrons on a daily, monthly, or annual basis.
- Process daily credit card, cash, and check payments of an estimated 2,000 transient patrons each month.
- Supervise the entry/exit of approximately 600,000 vehicles annually.
- Maintain responsibility of total operation of the 7-story Garage A, which includes operating entry and exit gates and systems for vehicular traffic, facility maintenance, equipment operation and repair, customer service, safety procedures, capital repair, and related accounting and reporting.
Responsibilities:
Assistant Parking Manager
- Assist fellow employees, patrons and vendors with a positive attitude
- Verify that the Pratt Street gates are set in the right position at the right time
- Complete any required ScanNet activities including generation of reports
- Ensure that all paperwork is completed in a timely manner
- On a biweekly basis, check all parking equipment in the garage to ensure that it is working properly
- Communicate regularly with the Booth Attendant to determine if all garage equipment including computers are working properly at the booth
- Maintain an open line of communication with the Parking Manager for any issues that may occur (emergencies, mechanical, electronics, VA requests, patron requests or problems, employee requests or concerns, patron collections)
- Respond to calls from employees as needed
- Make sure the Booth Attendant and other staff are keeping traffic off Erwin Road by lifting the parking gate as necessary when the VA lifts its Open Gate Order
- Undertake office work in office (collections work, schedule collections meetings on 18th and 28th of each month, IT work, organize paperwork, complete reports, upload electronic files, assist bookkeeper, monitor ScanNet, assist patrons, etc.)
- Monitor the parking property by walking and/or driving the parking premises
- Count cars at approximately 11:30am daily
- Make sure the Maintenance Technician is carrying out his/her responsibilities
- Fill out daily maintenance checklist
- Ensure that all gates work correctly
- Ensure that the exhaust fan on level six stairwell is clean and working
- Coordinate with Maintenance Technician to ensure that any signs that have fallen down are put back up
- Check for anything broken or in disrepair that needs to be fixed, and report to Maintenance Technician and Parking Manager
- In the winter months make sure that ice located anywhere in the deck is treated with ice melt or broken up and removed the with assistance of Maintenance Technician
- Help with traffic as needed
- Fill in any position as needed if employees are out
- Write parking ticket warnings as needed to keep patrons parking legally, and maintain a monthly log of all parking tickets
- Create, maintain and deliver a two-month schedule for garage maintenance inspection, parking property inspection and parking tickets
- After stormy weather check stairwells, lobbies and outside of lobbies and make sure any water is cleaned up immediately
- Check the booth and ensure that the Booth Attendant is doing his/her job correctly
- If the Bookkeeper is out, assist the Parking Manager with counting money
- Back up ScanNet computer system and Parking Manager’s computer
- Check janitorial closets and make sure they are clean and neat
- Confirm with Maintenance Technician to determine weekly need for supplies and send lists to Parking Manager
- Check vacuum cleaners and make sure the vacuum bags are being changed on a regular basis
- Check deck and inform Maintenance Technician if there are areas that need attention
- Place warning letters on employee cars that do not have decals on them
- Conduct lighting inspections once a month on LED light fixtures in garage parking areas, exit signs, stairways, lobbies, and elevators, and advise Parking Manager if work needs to be done
- Prepare monthly Lighting Inspection Report
- Check the elevator mechanical room weekly
- Check operation of elevators on a bi-weekly basis
- Check emergency call phones on a bi-weekly basis
- Respond to emergencies as necessary and keep Parking Manager informed of all aspects of the emergency, including the preparation of an emergency report
- Assist Bookkeeper with upkeep of financial files
- Help maintain Southern Time service log
- Help maintain gate and Hamilton machine log book
- Help maintain capital reserve binder
- Help maintain garage vendor binders
- Train new employees with assistance from Parking Manager
- Assist with hiring new employees with Parking Manager as needed
- Respond to after-hours calls as requested by Parking Manager
- Ensure that the Booth Attendant receives a break daily
- Assist Parking Manager on other required responsibilities to efficiently and profitably operate the parking business
- Assume Parking Manager responsibilities as directed by Parking Manager when Parking Manager is off property
