SMSI LLC is seeking an experienced administrator in our Oak Ridge, TN office to support a broad range of business operations and provide superior support to our employees and management team. The ideal candidate must be a proactive problem solver with exceptional communication skills and attention to detail. He/she will have previous experience working in a fast-paced office environment, performing administrative duties, providing support to management, and providing coordination across functional teams. Given the rapid growth our business is experiencing, we require flexibility and foresight, ability to learn quickly and deploy new systems and processes, while ensuring confidentiality in business operations.

Responsibilities:

Provide administrative support including but not limited to:

  • Editing and preparing executive level correspondence, documents, reports, and presentations.
  • Coordinating and troubleshooting with IT Services to ensure adequate services and equipment are available for staff.
  • Assisting with communications and marketing efforts throughout the company utilizing social media platforms, websites, and other various electronic communications.
  • Coordinating project and staff meetings with multiple disciplines, clients, and offices.
  • Supporting development, revision, and delivery of policies, procedures, plans, reference guides, and training materials.

Support SMSI functional directors and leadership team by:

  • Engaging in business development initiatives, proposals, and communication related activities.
  • Assisting contract services with contract modification, preparation, and management.
  • Providing document control and records management services for project level systems.

Competencies and Minimum Qualifications:

  • Minimum seven years of general business administrative and front desk support experience or a combination of relevant education and experience.
  • Excellent communication, collaboration, and organizational skills.
  • Expert level proficiency Microsoft Office particularly in Word, Excel, PowerPoint, and SharePoint
  • Demonstrated ability to articulate ideas and write clear and concise reports. Must be able to efficiently prepare, proofread and format complex reports, presentations, and documents using standard software.
  • Demonstrated ability to quickly complete documents, including reproduction, collation and delivery effectively handling a variety of competing job tasks all while using good judgment in handling information.
  • Knowledge of current marketing and graphic design trends.
  • Knowledge and ability to use current social media outlets.
  • Ability to handle multiple customer and staff interactions in an accurate, effective, and timely manner.
  • Resourcefulness and problem-solving aptitude with an ability to quickly learn and retain new knowledge.
  • Maintain confidentiality as required.

Work Environment:

This job operates in a combination of remote working and professional office environment. This role routinely uses standard office equipment such as computers, phones, and printers/copiers. Communication and active listening skills are a critical element of this position.
