Responsibilities

The Collection Clerk works directly with Attorneys, Litigation Paralegals and Collection Paralegals within the firm’s homeowner’s association practice. This individual will be responsible for preparing demand letters and lienholder letters for delinquent homeowners’ association assessments as well as update and send current status reports. The Collection Clerk will also be responsible for non-judicial foreclosure proceedings. In addition, they will review and finalize the payment arrangements with delinquent homeowners, assist in negotiating payment plans and update account information as needed. The Collection Clerk will be responsible for the billing of all work products, including the attorney’s time.

Collection Matters:

  • Prepare demand letters (review account setup, amount due, review deed, Appraisal District search/report, and review 209 letter)
  • Prepared lienholder notice letters
  • Prepare Notices of Unpaid Assessments and Other Charges
  • Prepare and monitor payment plans as well as default letters
  • Prepare file for lawsuit (Appraisal District search/report, Bankruptcy (Pacer) search and review account statements)
  • Prepare non-judicial foreclosure documents for posting and foreclosure
  • Request and occasionally review NFC Reports
  • Perform general electronic research
  • Telephone conferences and e-mail correspondence with association managers
  • Review/respond to incoming telephone calls and e-mails from property owners
  • Determine Amounts Due
  • Prepare new referrals for the collection process
  • Coordinate with the Collection Paralegal, Litigation Paralegal and Bankruptcy Department to make ensure all accounts have been updated for the collection status report. Timely prepare, create and send out the collection status reports to clients on assigned associations.
  • Prepare and send monthly status reports to clients
Requirements:

This individual will work with a team of paralegals. Excellent writing, proofreading, communication and organizational skills are essential to manage workflow.
