The Seventh Judicial District is seeking qualified applicants to fill a full-time Court Operations Associate position. This position is a multi-county position that will be assigned to the counties of Douglas, Morrison and Todd with primary work location in Morrison County Court Administration, Little Falls, MN.

The successful candidate will need to possess strong technical and customer service skills in a high volume, fast-paced environment which requires the ability to manage competing demands simultaneously. This position will involve responsibility for multiple areas of court case processing. Primary responsibilities include: advanced case processing in an electronic environment, providing exceptional customer service on the phone and in person, requires application of independent judgment and the interpretation of policies and procedures based on training and knowledge gained through experience on the job. This position involves daily contact with judges, attorneys, judicial staff, partner agencies and the public at the counter, in the courtroom, and on the phone. Advice and assistance will normally be provided as needed by a Court Operations Supervisor or Court Administrator, but most functions will be performed with minimal supervision.

Example of Duties

The following are examples of job duties that may be expected for these positions:


  • Performs the full scope of varied court clerical work involved in case processing on Minnesota Court Information System (MNCIS), Odyssey eFile and eServe (eFS) System and/or other related technology systems.
  • Performs a high volume of telephone and counter work quickly and courteously, in accordance with data privacy regulations and the most current rules/policies; accesses information on appropriate computer system(s) to respond to questions/inquiries regarding court procedures and case status; arranges for language interpretation as needed.
  • Reviews legal documents for completeness, adequacy, accuracy and compliance with rules; determines processing required and takes necessary action in accordance with court rules and business practices. Classifies and verifies appropriate document security levels of submitted filings. Assures confidentiality in compliance with statutes and court rules. May refer highly complex or unusual matters to a supervisor.
  • Enter on appropriate computer system(s) required record information such as case events, case activity, orders, documents, etc.; may enter and update case information and generate legal documents as decisions are made by the court during proceedings; ensures that electronic messages containing case information are passing to partner agencies in a timely and accurate manner.
  • Communicates courteously and effectively with court stakeholders and has daily contact with: judges and judicial officers while working as their assistants in court proceedings, performing in-court updating duties and responding to requests for documents or other information; the general public, self-represented litigants, attorneys and representatives from outside agencies for the purpose of answering questions relative to court policies and procedures, providing referrals for further assistance, providing information on case status and court records, and assisting with the processing of applications and documents.
  • Generates or issues notices, subpoenas, summons, expungements, commitments, dispositions, executions, levy forms, petitions, affidavits, correspondence, court calendars, orders, etc.; reviews everything for accuracy and completeness; secures required signatures. Prepares and scans documents for electronic imaging.
  • Performs courtroom clerical duties including in-court updating; prepares orders and forms for court; checks people in and calls the calendar; sets court dates for next appearance; arranges and organizes the docket; notes continuances, makes minute and docket entries to reflect case progress in case management system; swears in witnesses and jury panel,, takes court minutes and/or may operate electronic recorder.
  • May participate in and coordinate the scheduling and calendaring of court hearings; sends out notices; contacts attorneys and parties concerning rescheduling; makes appropriate record entries.
  • May perform financial activities within the office; receipting payments via counter and mail; making disposition entries and adjustments in case management systems; preparing and reconciling required reports; balancing till.

Typical Qualifications

Minimum Qualifications

  • High School Diploma or Equivalent
  • Six months of recent experience in the legal field or a highly technical, customer focused, administrative position
  • OR Equivalent education and experience
Knowledge, Skills and Abilities
  • Experience using electronic applications, such as Microsoft Office Suite, Adobe Acrobat, and the ability to learn job related software
  • Experience providing exceptional customer service while working under pressure in a high volume, fast-paced environment
  • Ability to multitask and prioritize duties while remaining flexible and adaptable to change
  • Ability to effectively communicate verbally and in writing, including the handling of sensitive and confidential matters
  • Ability to read, comprehend and explain rules, statutes, legal documents, policies and procedures of varying complexity
  • Ability to establish and maintain respectful, and effective working relationships with others
  • Ability to work in an inclusive, multicultural environment and professionally exhibit cultural sensitivity
  • Ability to begin new tasks with little supervision while maintaining a high degree of accuracy in work product and demonstrating attention to detail
  • Ability to make independent judgments and decisions
  • Excellent customer service and interpersonal skills, including the ability to de-escalate difficult interactions
  • Reliable with the ability to meet commitments of work duties
Preferred Qualifications
  • Associates or Bachelor's degree in Criminal Justice, Political Science, Business Administration or a related field
  • Experience working in the legal field or court setting
  • Extensive knowledge of current court policies, procedures, processes and terminology
  • Knowledge and experience with Minnesota Court Information System (MNCIS) and eFile and Serve (EFS)
SUCCESSFUL CANDIDATE WILL BE REQUIRED TO PASS A CRIMINAL BACKGROUND CHECK.

Current judicial branch employees must have satisfactory performance and no documented disciplinary action in the preceding 12 months.
