Global Real Estate and Workplace Evolution

Dow Jones is seeking an Executive Admin/Business Analyst reporting directly to the Senior Vice President of Global Real Estate & Workplace Evolution. You will be the one to ensure that our department is well-coordinated and productive, while partnering closely day to day with the SVP and Program Manager of Workplace Evolution to drive departmental cultural and business initiatives. This role will require thorough knowledge of various departmental and company processes and will be a major contributor to the overall effectiveness and organization of the GRE & WE leadership team.

Location: New York City Office (Hybrid)

Executive Admin:

  • Administrative support for the Senior Vice President of Global Real Estate & Workplace Evolution, along with coordination and enablement support for the GRE & WE leadership team.
    • Travel arrangement assistance and expense report filing
    • Calendar management
    • Prepare briefs and agendas for designated meetings
    • Take meeting minutes as needed
  • Manage iOffice (Desk Reservation System) day to day:
  • Users
  • Desk descriptions and assignments
  • Troubleshoot for users
  • Liaise with iOffice support partners
  • Manage the your workplace inbox
  • Triage and direct questions to the appropriate workplace team members
  • Coordinate with EAs and receptionists across offices to provide backup support for any meeting room booking and Google Calendar troubleshooting.

Analyst:

  • Develop a dashboard in partnership with People Data Analytics team, Security for office Utilization reporting, Real Estate and Finance for relevant office/portfolio metrics.
    • Report of the data each week
  • Compare to trends in industry around workplace utilization and attendance
  • Partner with the Program Manager of Workplace Evolution and Global Project Delivery team to use data to inform project prioritization and capex planning investments.
  • Work with Lease Administrator to document current process and responsibilities, while serving as back-up and contingency plan for the Lease Admin function within Dow Jones.

Qualifications:

  • 3 to 5 years of relevant career experience working within a corporate environment.
  • Experience working with cross-functional, geographically distributed teams
  • Ability to operate independently with excellent time management skills and confirmed ability to deliver on multiple, competing priorities in a dynamic environment
  • Ability to effectively interact with people and partners across all levels within the organization
  • Excellent communicator with strong interpersonal skills and ability to build relationships
  • Work well under pressure and consistently meet deadlines
  • Experience creating and maintaining dashboards
  • Experience with Lease Administration processes, invoice processing, and rent payment is a plus.
  • Experience with Workplace data and how to interpret it
  • Proficient with Google suite, specifically google documents, presentations, google sheets, excel, etc.
  • Ability to develop dashboard reporting in Tableau is plus

NYC Pay Range: $40,000 - $160,000
