Job Overview

The Executive Assistant serves as the primary administrative support to the Dean of the School of Nursing to include communication with partners, scheduling, meeting and event planning, and travel arrangements. This position provides high-level administrative support to the Dean by way of effective and efficient communication management and implementation of objectives and projects from the Office of the Dean. This position requires exceptional communication, organizational, problem solving, and technical administrative skills.

Work Interactions and Work Mode Designation

The Executive Assistant serves as a critical liaison between the Dean and faculty, staff, and students; nursing alumni and families; advancement, general counsel, Medstar Health; and professional organizations. The incumbent must exercise broad and comprehensive knowledge of the University's policies and operations to perform highly confidential duties. These duties require discretion, judgment, tact, and poise. This position typically receives general supervision.

Requirements and Qualifications

  • Proven experience as an executive assistant or other relevant administrative support experience.
  • In-depth understanding of entire MS Office suite.
  • Ability to organize a daily workload by priorities.
  • Must be able to meet deadlines in a fast-paced quickly changing environment.
  • A proactive approach to problem-solving with strong decision-making skills.
  • Professional level verbal and written communications skills.

Administrative Support

Manage the daily schedule of the Dean for the School of Nursing. Confirm appointments, support meetings, resolve conflicting priorities, and ensure the things are on time, organized, and well prepared for each meeting/appointment.
Make adjustments to daily plans without causing disruption.
Screen all inquiries for the direct reports and provide thoughtful recommendations for response.
Ensure all necessary support is provided for direct reports when conducting meetings, speeches, and presentations.
Follow up on critical requests in a timely manner.
Gather background information, research issues, prep briefs, and summarize issues to conserve the Dean's time.
Provide pertinent information and recommendations to support the Dean and their direct.
Appropriately staff the Dean and direct reports at events and meetings.
Prepare and submit documents, ensure regulatory records are maintained and accurate.
Preparing Presentations and writing of manuscripts.

Event and Travel Support

Arrange logistics for meetings and teleconferences, including Zoom information, catering, and other needs.
Plans, coordinates and sets up meetings to include materials, food service, audio/visual.
Track and manage any events, projects, and processes overseen by the office of the dean.
Complete critical aspects of deliverables and special assignments by determining priorities and managing time.
Monitor events and notify relevant parties of competing or conflicting demands.
Manage business travel, including transportation and accommodations. Develop, update and maintain itineraries, and makes conference arrangements as needed.

Job Type: Contract

Salary: $35.00 per hour
