Job Description:
Purpose: To provide administrative support to the executive team.
Location: Santa Fe, NM based.
The Executive Assistant will serve in a critical support role to members of Meow Wolf’s executive team. You will provide administrative and operational support to these executives, enabling them to advance company initiatives and goals. Primary responsibilities include performing a variety of presentation coordination, calendar management, expense reporting, information gathering, note taking, travel coordination, and logistics.
As Executive Assistant, you will play a key role in ensuring the efficient operation of our leaders by managing and prioritizing competing demands for their time and attention. You will support the executives in every context of administration, including the management of information within and between the Senior Leadership Team and the coordination of meetings and communications teams directly under each department. This includes keeping up to date on each division’s current activities, responding to general external and internal requests for information, liaising with staff from the exhibition offices, and connecting with other third-party contacts.
The ideal candidate has a keen ability for organization, communications, and can live within the colorful and chaotic world of immersive experiences. The delivery of successful administrative support to these leaders will directly impact the future of Meow Wolf.
How you will do it…
  • Establish and operate efficient offices by providing administrative support.
  • Manage the day-to-day operational and administrative activities of the executives by setting and monitoring their schedules, organizing the incoming flow of work, prioritizing requests, maintaining a monitoring system, and following-up to ensure timely responses.
  • Prepare arrangements for in-person and virtual meetings, often over different time zones. Welcomes key visitors in-person.
  • Receive and prioritize incoming correspondence and take action in drafting correspondence and forwarding for action and/or distributing information.
  • Respond to email as requested by the executive (through manually forwarded messages, not through direct access to the mailbox).
  • Obtain, compile and extract information from files, publications, internet, and other databases and other sources to prepare documents and briefing papers. Assist with organization and compiling of presentation materials.
  • Organize meetings, including but not limited to, contacting participants, preparing documentation for distribution, and coordinating administrative and logistical arrangements. Following the meetings, draft notes and follow up items, and circulate to participants.
  • Prepare all aspects of travel, from travel approval to trip programming, flight and accommodations booking, and preparing expense reports. Assist in the preparation of expense reports of other employees in the departments.
  • Maintain professionalism and strict confidentiality with all materials, and exercises discretion when interfacing with other departments and divisions.
To be successful in this role you have…
  • At least 6 years in an administrative assistant role with 2+ experience assisting executive level leaders.
  • The ability to communicate effectively through written and verbal mediums.
  • Strong project management skills to create and manage multiple details at once.
  • A high level of Google Suite knowledge (Docs, Sheet, Gmail, GCal).
  • The ability to self-direct and be proactive.

  • Experience managing relationships and communication materials with executives, internal teams and third parties
  • Understanding of and passion for Meow Wolf.
It would be nice for you to have…
  • Presentation creation ability (Google Slides / PowerPoint).
  • Experience working with cross-functional teams across multiple locations and time zones.
  • Bachelor's degree is a plus.
Work environment…
  • This position works in an office setting from Santa Fe, NM.
  • This is a full-time position –averaging 40 hours a week, Monday to Friday. Occasional evening and weekend work may be required as job duties demand.
  • Some travel may be required at times. Up to 25% of travel may be required in the local area and up to 10% out of state exhibition travel required (Vegas, Denver, etc).
