Executive Assistant

Metaxas Media was founded by Mr. Eric Metaxas, bestselling author, renowned radio show host, and culture commentator. The Executive Assistant is an integral part of Metaxas Media and is responsible for the day-to-day operations, communications, and event management. The Executive Assistant serves as the right-hand and point-of-contact for Mr. Metaxas and his team. This Executive Assistant role is a full-time position. The role covers a broad range of priorities with a focus on managing Mr. Metaxas’s schedule and building relationships. The ideal candidate will bring strong organizational skills, discernment, flexibility, and a passion for furthering the work of Eric Metaxas.

Salary: $80,000-$100,000 annually

Location: (Remote) must live in NYC

Hours: Full-Time Exempt

Travel: Some travel required

Essential Duties

· Document and manage all phone calls, voicemails, meeting notes, etc.

· Manage incoming inquiries for Mr. Metaxas: prioritize and handle inquiries for speaking engagements, media interviews, endorsements, appointments, calls, and special requests.

· Support Mr. Metaxas’s speaking appearances, including working with event hosts, booking travel, coordinating with booksellers, and invoicing.

· Assign, and track items in Mr. Metaxas’s schedule, including writing assignments and deadlines, media interviews, speaking engagements, appointments, and calls.

· Ensure an efficient and smooth itinerary, communicate the itinerary to the staff team daily, and effectively handle any areas requiring adjustment with other staff.

· Maintain and expand a contact database for Mr. Metaxas.

· Facilitate Mr. Metaxas’s participation in local events, video shoots, or interviews.

· Draft communications that represent Metaxas Media

· Assist with proof reading and editing all documents, copyedits, and correspondence

· Process all invoices and expense reports

· Prepare profit and loss statements

· Assist with hiring, onboarding, and training new employees

· Manage all company calendars and ensure appropriate timing, attendees, and agendas are included

· Handle all competing priorities and manage conflicts as needed

· Keep a record of pending meetings and meeting requests; help prioritize scheduling

· Schedule all aspects of domestic and international travel and ensure preferences are included

· Create detailed itineraries and update them as needed

· Ensure that Mr. Metaxas is fully prepared for all meetings, appearances, and speeches

· Plan and promote internal and external events, including set-up, marketing, and catering

· Seek out new opportunities to highlight and grow Metaxas Media

· Conduct research projects as necessary

Minimum Qualifications

· Bachelor’s degree in related field; Master’s degree preferred

· 7+ years of experience in a related field

· Strong organizational skills for tracking many inquiries, people, and tasks.

· Strong written communication skills.

· Keen attention to detail; strong sense of responsibility.

· Strong sense of values, trustworthiness

· High degree of professionalism and discretion in handling confidential information.

· Strong computer skills, particularly experience with MS Excel and Word, and Web Content Management tools. Graphic design skills a plus.

· Flexibility to be available on evenings and weekends.

· Experience with strategic planning and financial management

· Experience with social media and marketing

· Experience in the media industry is preferred

· Ability to take direction and work as part of a team

· Experience in the media industry is preferred

Job Type: Full-time

Pay: $80,000.00 - $100,000.00 per year
