Executive Assistant to C Suite

The Executive Assistant Role demands a master multi-tasker with the ability to anticipate the needs of the executives. It requires confidentiality and the ability to work under pressure in time sensitive situations. The ideal candidate will display professionalism in all situations, have excellent communication skills, and be proficient with Microsoft Suites such as Excel, Power Point, Outlook, etc. At times, the role will cross into a mix of executive assistant and personal assistant.

Duties and Responsibilities include, but will not be limited to:

· Calendar management including travel, conference calls, zoom calls, and meetings.

· Making arrangement for biweekly board meetings, including travel logistics, meals, and day planning.

· Attend board meetings and take minutes for future distribution.

· Assisting with reports and presentations, collecting and preparing information and agendas for meetings, managing emails, and preparing correspondence.

· Work closely with the C level team to advise of upcoming meetings and calls, and work to avoid any scheduling conflicts.

· Assist various departments as needed for special project tasks.

· Properly order and stock office materials.

· Be the liaison between the C Level team and external employees, vendors, or subcontractors.

· Answer main phone line for the Company and be the gatekeeper of communications, which requires sound reasoning as to what calls to put through to executive and which to handle themselves.

· Be willing to learn enough about each department of the Development Company to best assist them in their daily needs.

Qualifications and Experience:

· A minimum of 5 years’ experience of Executive Support is preferred.

· Exceptional organizational skills and a high attention to detail.

· Strong verbal and written communication skills

· Sound decision making and problem solving skills

· Ability to work in a fast paced environment

· Ability to travel biweekly for board meetings

· Ability to maintain a high level of integrity and confidentiality

· Ability to prioritize your day

Job Type: Full-time

Pay: $80,000.00 - $100,000.00 per year
