Job description
In this role, you will provide executive administrative and project support for UCLA Health Research & Innovation as well as the Executive Director of UCLA Biodesign and other executives as assigned. This position ensures all of the above-mentioned operations run smoothly and that the Executive Director is adequately informed and prepared for day-to-day operations.
This position requires independent decision-making, problem solving skills, and the ability to handle sensitive materials on a daily basis. You will also be responsible for setting priorities to complete work in a timely manner with changes in workload, assignments, deadlines and other competing demands with frequent and or urgent interruptions and with varying priorities.
- Experience in being an assistant for someone in an elevated research or grant administration role, and/or supporting someone in executive administration for health care start-ups, pharma or biotech
- Skill in working independently on a variety of assignments with minimal direction and fluctuating workload, frequent interruptions and distractions.
- Skill in analyzing information and/or assessing situations to define issues, identify concerns, or factors, recognize alternatives and their implications to respond accordingly.
- Skill in interacting diplomatically with a diverse population composed of administrators, staff, Physicians and outside customers.
- Writing and editing skills to prepare grammatically correct business correspondence, agendas, minutes, and reports with speed and accuracy.
- Skill in establishing and maintaining complex filing, pending and follow-up system by reading, understanding and classifying written materials into appropriate file categories.
- Demonstrated ability to maintain confidentiality.
- Ability to establish and maintain cooperative working relationships in a complex and sensitive environment
- Strong skills with PC and software programs including MS Word, Excel, PowerPoint, Outlook, etc.
- Knowledge of concepts, principles and methods of developing and executing marketing promotional marketing strategies
- Knowledge of presentation development, and the ability to communicate complex ideas in a simple and understandable fashion
- Ability to effectively prioritize work and meet deadlines in a fast paced environment with competing priorities
- Ability to recognize and resolve conflicts through collaboration, communication and customer (patient and physician)
