We are seeking a qualified HR Manager who is highly skilled, knowledgeable and has experience in all aspects of HR. Ideal person has excellent communication skills and able to communicate with Executives, Physicians, and employees across Practice. Enjoys collaborating with managers on HR strategies, policies, and day to day issues. This role is based in our administrative office located Aurora. This is a full time onsite position; remote or work from home is not available. Must be willing to travel to other locations within the practice as needed. Our hours are Monday-Friday, 8:00am to 5:00pm.
We offer excellent benefits and competitive pay range from $75,000 to $95,000 annual salary commensurate with experience and generous paid time off.

Responsibilities and Duties:

- Participate in developing department goals, objectives, and systems.
- Recommend, develop, and implement personnel policies and procedures; revise policies and procedures related to changing regulations, labor laws, and human resource guidance.
- Comply with federal, state, and local legal requirements; study new legislation; anticipate changes; and advise management accordingly.
- Maintain ongoing education in HR and employment law to ensure Company policies and procedures are compliant; assist with implementation of new programs or polices as needed.
- Maintain Employee Handbook with regulatory updates, Company policy changes and other changes.
- Recommend new approaches and procedures for efficiency and continual improvements in the HR department and the services provided.
- Maintain written procedures for HR department. Review regularly and update procedures as needed.
- Maintain skills and competency in HR systems including Paylocity, ATS, 401(k) site, Benefit portals, and online training site. Be the main point of contact for employees and system representatives.
- Responsible for supervision of HR Assistant including hiring, annual performance reviews, counseling, training, development, and mentoring.
- Provide leadership for the HR personnel and set high standards for professionalism and work ethic.
- Delegate responsibilities and duties to HR personnel and manage quality of work and productivity.
- Maintain and ensure accuracy of employee data in files, Payroll, Benefits, HSA and other HRIS systems.
- Ensure data security and protection of personal identifying information in systems and personnel files.
- Perform payroll administration, maintenance input, and reporting. Prepare payroll changes and documentation for the accounting department for processing biweekly/monthly payroll.
- Prepare reporting for the department in relation to established objectives. Provide payroll reports, headcount, turn-over, benefit costs, etc., when requested and as needed.
- Provide wages, payroll expenses and benefit costs for Year End Budget Preparation.
- Conduct annual wage surveys, evaluate data, and make compensation recommendations, if warranted.
- Create and update Company-wide pay scale based on wage survey data.
- Apply approved cost of living adjustments, when needed and communicate with employees accordingly.
- Perform benefits administration including oversight of eligibility, enrollment, life events, timely adding and terming of coverage, and preparation and reconciliation of benefit invoices.
- Oversee COBRA administration with the designated COBRA administrator vendor.
- Educate employees about Company insurance benefits and assist them with electronic enrollment.
- Be a resource to employees for benefits and direct them to appropriate services and carrier resources.
- Participate in annual employee benefit renewal decisions and processes.
- Plan, coordinate and communicate information for Open Enrollment.
- Perform administrative duties for the Company 401k Plan including eligibility, enrollment, member notices and terminations.
- Create written job announcements and post vacancies for recruiting in the applicant tracking system.
- Assist managers with recruiting tasks including telephone pre-screens when needed, completing references, background checks, and extending contingent and confirmed offers.
- Coordinate start date, orientation, and training for new hires.
- Oversee HR Assistant who is responsible for onboarding, HR orientation, and benefit info for new hires.
- Ensure completion of onboarding paperwork and ensure timely benefit enrollment.
- Manage Company online compliance training including Safety & OSHA, Code of Conduct, Harassment & Workplace Violence Prevention training. Ensure 100% employee participation in Annual Training.
- Maintain EEOC compliance, report required data and pay information to the EEOC in a timely manner, when applicable.
- Maintain Professional Human Resources certification through continuing education, attending conferences, webinars, and membership in professional organizations.
- Conduct worksite investigations when complaints or serious allegations are made.
- Act as mediator in conflict situations and participate in counseling and disciplinary meetings as needed. When appropriate, facilitate conflict resolution with parties involved for the desired outcome.
- Train and education new managers on HR processes, systems, and employee programs.
- Act as gatekeeper for the Employee performance evaluation process and merit pay increases based on the Company pay scale and performance measurement metrics.
- Provide guidance to managers, when needed, in performance management, disciplinary action, performance improvement documents and general HR guidance.
- Ensure proper documentation is completed when conducting corrective action and terminations. Act as witness when discharging employees.
- Respond to unemployment claims; provide accurate separation information in a timely manner.
- Act as primary administrator for FMLA claims; maintain certificates, manage leave tracking, paid time off, and communication between parties.
- Manage Worker’s Comp claims and assist managers and employees with the process, including first report of injury, medical treatment, work restrictions, modified duty and return to work.
- Assist the OSHA Safety Program Coordinator with safety initiatives and administrative needs
- Utilize the Company online survey tool to conduct exit interviews and employee opinion surveys for feedback on workplace and job satisfaction. Assess and share pertinent information to enhance/improve job satisfaction.
- Provide exit information and conduct off-boarding for separating employees.
- Provide notices and compliance communication when undergoing reduction in force, or company re-structure. Act as the liaison and point of contact for employees when layoffs occur.
- Handle employment verification requests from outside entities.
- Collaborate and contribute to the creation and editing of the Company Newsletter.
- Participate in all shared Manager responsibilities including participation in Management team meetings, organization of Regional Staff Meetings, all-Company events, and employee recognition programs.
- Other tasks as assigned.
Required Experience:
Essential Skills and Experience:
- Five plus years of current Human Resource Generalist or Manager experience
- Bachelor’s degree, or 5+ years of relevant work experience in HR role with increasing responsibility and oversight of HR functions
- PHR/SPHR Certification
- Experience in payroll and benefits administration in an HRIS system; experience with Paylocity a plus
- Strong attention to detail and organizational skills are a must
- Must possess above average verbal and written communication skills
- Ability to communicate professionally through email, knowledge of business email etiquette
- High proficiency in MS Office products, including Excel, Word, and Publisher
- Ability to proficiently navigate the internet and use the internet sites for research purposes
- High level of professionalism in appearance, behavior, and communication
- Must possess critical thinking skills and be able to troubleshoot, research and develop ideas, programs, and systems for the department with oversight from Director of Operations
- Trustworthy, strong ethics and high level of discretion and independent judgment
- Ability to work independently, without a high level of supervision
