About the Opportunity
West Virginia University’s (WVU) Health Affairs Institute is seeking candidates for a full-time Program Coordinator. This position applies expert knowledge of survey administration methods to assist with coordinating statewide, population focused surveys for the Health Affairs Institute, WVU and other state and agency partners, as the Health Affairs Institute frequently engages in collaborative efforts with the WV Department of Health and Human Resources (WV DHHR) and other state and nonprofit partners that hold a mission to improve the health of West Virginians. Ideal candidates will have experience coordinating or supporting survey administration efforts. This position requires a wide range of skills and knowledge of State and WVU programs, policies and procedures. This position will report directly to the Assistant Director of Survey Administration.
The Health Affairs Institute serves as the coordinating office for WVU’s State-University partnership with the WV DHHR. Ideal candidates will have work experience that aligns with the Health Affairs Institute’s purpose and the mission of DHHR’s Bureau for Medical Services, Bureau for Social Services, Bureau for Behavioral Health or Bureau for Public Health, and an interest in improving the health of underserved populations, particularly rural, Appalachian populations. Options for virtual work are available.

What you’ll do:
- Coordination of survey participant incentives.
- Coordination of advance communication including but not limited to vendor coordination and monitoring.
- Assist with promotional/advanced communication planning, organizing, reviewing, and tracking.
- Assist with the development and delivery of survey program management training.
- Develop comprehensive reports on ongoing programs and submit summary reports to management each month.
- Help build positive relations within the team and external parties.
- Keep updated records and create reports or proposals as they pertain to the Assistant Director of Survey Administration.
- Ensure accurate implementation of policies and practices associated with state funded contracts
- Maintain an updated list of programs contact information.
- Research and share funding opportunities with all public and private stakeholders.
- Assist with program audits, as needed.
- Attend bureau, public, and program meetings on an as needed basis by the Health Affairs Institute
- Develops and recommends new or revised program goals and objectives as requested or required by the Assistant Director.
- Maintains budget and tracks expenditures/transactions as required.
- Conduct and/or review query analysis as needed.
- Project management as requested by the state or Health Affairs Institute.
- Oversees daily operations, coordinates activities of the program, and determines priorities.
- May develop and/or facilitate workshops, meetings, or conferences by coordinating logistics, scheduling, and participant communications.
- Coordinates activities and/or functions in accordance with established priorities, time limitations, funding limitations or other specifications.
- Tracking and reporting on project milestones.
- Assisting in contract and subcontract issues.
- Bachelor’s degree in field appropriate to area of assignment. Master’s degree preferred
- Two (2) years of administrative/coordinator program experience
- One (1) year of survey administration experience preferred
- Relevant experience with survey administration activities
- Relevant experience with grants
- Experience with healthcare funding
- Knowledge and understanding of state Department of Health and Human Resources programs
- Excellent organizational, verbal/written communications and interpersonal relationship skills are essential to this position
- Proficiency in Microsoft Office software applications
- Ability to interface with various levels of state personnel
- The ability to travel to WVUs regional campuses and/or within the multi-state area is required.
