Long Island Plastic Surgical Group is looking for a Medical Secretary to join our Garden City office. The Medical Secretary will deal with all clerical aspects regarding patient care and patient inquiries. The ideal candidate will interact with patients, insurance companies, and physicians with issues related to billing, insurance, appointments, and surgical scheduling.

WHAT YOU SHOULD HAVE:

  • A high school diploma is required
  • Superior interpersonal and communication skills with staff, patients and physicians
  • Experience with practice data processing systems
  • Ability to multi-task within a fast-paced environment
  • Ability to prioritize work flow
  • Excellent organizational skills
  • Experience working in a medical office is REQUIRED
  • Knowledge of CPT/ICD10 coding and insurance authorizations is necessary
  • Surgical office experience and scheduling surgical procedures preferred.
  • Knowledge of credentialing, expense reports and scheduling physician travel arrangements a plus.
  • Proficiency in another language preferred.

WHAT YOU WILL DO:

  • Scheduling of reconstructive surgical procedures to include coordination with outside facilities and outside physicians; to include scheduling of preoperative testing, preoperative office visit and follow up appointments.
  • Ordering of surgical supplies
  • Communicate with authorization department to obtain authorizations for office visits and surgical procedures.
  • Obtain insurance authorizations for radiology exams and injectable procedures and supplies, home care when needed.
  • Notify scheduled patients by phone and/or email of the details of their scheduled pre-op, PST and surgery dates and clearance requirements.
  • Assist patients with any inquiries related to office visits, insurance, surgery dates and disability forms.
  • Maintain patient EMR records to ensure that the file is complete, including but not limited to obtaining operative reports, pre-surgical testing results, radiology reports and pathology reports when necessary.
  • Daily review of patient accounts in preparation for daily schedules.
  • Running Health Commerce PMP (Prescription Monitoring Program) search, narcotic check for appointments as per office protocol.
  • Respond to attorney requests for medical records, medical reports and physician appearance in court
  • Making appointments when necessary
  • Providing coverage for patient relations representatives during patient relations representative meetings and if necessary during times of high volume calls
  • Monitor physician schedule to insure proper patient flow and work with PRR and nursing staff as needed
  • Travel to satellite offices to work with physician as needed
  • Prepare thank you letters to referring physicians
  • File physician’s continuing medical education requirements
  • Open, sort and review physician’s mail
  • Complete hospital applications and re-appointment applications
  • Schedule meetings for physician; arrange schedule for seminars or workshops
  • Coordinate physician travel arrangements
  • Handle clerical and scheduling aspects of malpractice cases
  • Act as a liaison between the front desk and physician to help resolve scheduling and insurance conflicts
  • Maintain physicians call calendar and find coverage as needed by physician
  • Maintain accurate physician demographic data on hospital websites
  • May be a Nextech Super User responsible for workflow analysis, configuration, and build/testing of Nextech.
  • Assist physician with any clerical matters as needed.
