With offices in both Seattle and Bellingham, we are currently seeking an experienced Personal Assistant for the President based in the Seattle office.


REPORTS TO: President

Work Location: Seattle, WA


Responsibilities

  • Assists one or multiple leaders in the daily operation of the company by providing general administrative support.
  • Answers phones, makes travel arrangements, and writes and distributes emails, correspondence, letters and faxes.
  • Coordinates and organizes several aspects of employer's personal life.
  • Manages calendar and daily scheduling.
  • Receives all incoming communications and routes appropriately.
  • Manages multiple projects and provides timely follow-up.
  • Maintains records, enters data, and updates contact database.
  • Attends meetings and takes notes.
  • Sets and confirms appointments.
  • Coordinates internal and external meetings with customers, employees, and others.
  • Serves as liaison with all professional contacts, family, and friends


Skills & Experience

  • Administrative Assistant experience (5 years preferred)
  • High school or equivalent (Required), College AA or BA preferred
  • Strong computer skills -Quickbooks preferred, familiarity with Word and Excel.
  • Strong phone contact handling skills and active listening
  • Customer orientated
  • Ability to adapt and respond to different types of personalities
  • Excellent communication and presentation skills
  • Ability to multi-task, prioritize, and manage time effectively
  • Be a positive person who our staff can rely upon
  • Build sustainable relationships and trust with all staff and vendors through open and interactive communication
  • Tackle concerns with appropriate solutions and alternatives within a timely manner; follow up to ensure resolution
  • Make daily bank deposits (if assigned)
  • Prepare financial reports and other documents for monthly review

SPECIFIC QUALIFICATIONS:

  • Possesses knowledge of standard bookkeeping practices.
  • Must be detail oriented, enjoy and has an aptitude for working with figures and money.
  • Is capable of handling money and sensitive information in a professional and confidential manner.
  • Trustworthy, Dependable, Highly organized person with a strong work ethic.
  • Background check required.
  • Authorized to work in the US
