Oneida Total Integrated Enterprises (OTIE) delivers full-service facility and infrastructure engineering design, environmental science, construction management, and munitions response services worldwide, with over 25 years of successful project performance.

OTIE currently has an immediate opening for Part Time Project Administrative Assistant to support our California offices (Walnut Creek, Ventura, and San Diego) by providing a diverse range of project administrative, document production, and general business support. The regular schedule will be Monday through Friday during regular business hours. The schedule is working a minimum of 20 hours per week, and while flexible, it must be coordinated through the Project Administrative Assistant’s direct supervisor.

Responsibilities:

  • Perform a variety of moderately complex technical editorial and document production tasks such as creating/drafting correspondence, memos, and taking documents from rough to final draft, under verbal instruction. Makes decisions on format and layout and edits for accuracy and consistency of data.
  • Prepare, edit and maintain reports and other documents as requested, including editing text, tables, data, lists, charts, and presentations.
  • Perform editorial checks (spell/grammar, incomplete sentences, incorrect dates, etc.).
  • Compile, print, and quality check simple to complex documents, reports, graphs/charts, and presentations.
  • Provide document control according to customer requirements, and maintain organized file sharing platforms
  • Maintain strict adherence to corporate and customer standards and specifications.
  • Perform data entry, data accuracy checks, electronic file management, mailings, copying and scanning.
  • Assist project managers with various tasks, including but not limited to:
    • o Task tracking, including notification of deliverable due dates;
    • o Electronic notification of document submittals to stakeholders;
    • o Develop and maintain project schedules; and
    • o Setup and maintain project records.
  • General meeting support, including production of meeting materials and documentation of meeting minutes, etc.
  • Assist department staff with general day-to-day administrative requests (as directed).

Minimum requirements:

  • 3-5 years progressive experience functioning in a support capacity to a department.
  • Must be able to work independently and multi-task with a high degree of accuracy and detail in a fast-paced, deadline-driven environment.
  • Ability to work well under pressure and handle multiple projects, deadlines, and submittal requirements simultaneously is essential.
  • Demonstrate ability to tactfully and effectively communicate (written and verbal), with a variety of individuals including executive management and clients.
  • Demonstrate ability to exhibit a high degree of judgment and discretion in handling confidential information and situations.
  • Demonstrated problem solving ability (e.g., developing office systems).
  • Demonstrate high standards of personal and professional integrity and work ethic.
  • Must be a highly organized and detail-oriented team player, with a mix of technical and creative skills.
  • Advanced knowledge and proficiency in the use of the Microsoft Office (Outlook, Excel, Word, Power Point, MS Project) and the full Adobe Suite (Photoshop, Illustrator, Acrobat).

Preferred skills:

  • Associates degree in business, communication, or related discipline or equivalent experience is preferred.
  • Previous experience providing support to engineering or environmental services firms.
  • Previous experience with specialized documents such as blueprints and/or scientific drawings.
