Schedule Coordinator - Scotia Village
General Description:
The function of the Schedule Coordinator is independent with direct oversight provided by the Director of Nursing, and includes but is not limited to the following:
a. Creates and manages the monthly nurse and certified nursing assistant schedule planning for adequate staffing on a daily basis for each shift, replacing staff as necessary due to call outs, FMLA, or termination of an employee.
b. Ensures monthly schedules are posted by the 15th of the prior month.
c. Manages shifts platform on Rede App, posting open shifts and approving/denying as appropriate.
d. Reviews all PAL requests and discusses with DON monthly. Approves/denies PAL requests in a timely manner after direction from the DON.
e. Reviews and maintains shift/status change requests and manages appropriately.
f. Creates and manages the on-call schedule for nurses and includes this on the monthly schedule.
g. Responsible for accepting phone calls for staff calling out during normal business hours and securing staff coverage as appropriate.
h. Ensures on-call nurse has necessary information during week of call including current schedule, daily assignment sheets, and current telephone numbers for all staff.
i. Prepares daily assignment sheets weekly for all households, adjusting daily as needed. Each Monday, the Schedule Coordinator will submit assignment sheets for the following Tuesday through Monday to the DON and Nurse Mentors for review.
j. Posts daily assignment sheets in each household at the end of shift for the next day. On Fridays, posts daily assignment sheets in each household at the end of shift for Saturday through Monday. A copy of the previous day(s) assignment sheets will be collected when posting new assignment sheets, any corrections will be made as needed, and assignment sheets will be kept for a minimum of 18 months.
k. Creates and posts daily staffing sheet in each household daily. Collects previous daily staffing sheet and makes corrections as needed. Maintains daily staffing sheet for a minimum of 18 months.
l. Maintains accurate phone list for all employees.
m. Maintains attendance record for all nursing department employees.
n. Communicates with HR and DON regarding vacant positions as they arise.
o. Completes audits as assigned by DON.
p. Maintains positive relationships with staff.
q. In the absence of adequate staff, Schedule Coordinator may act as a Certified Nursing Assistant or Transporter as needed.
r. Ensures nametag is placed on nameplate outside resident’s room door for new admissions or re-admissions.
s. Ensures DNR stickers are placed on resident’s beds who have a current DNR order in place. Completes monthly code status audit ensuring appropriate notation in EMR, stickers on beds of those residents who have a DNR in place, and golden rod or MOST form available for each resident as appropriate.
t. Participates in new hire orientation as directed by Staff Development Coordinator.
u. Takes and prints photos of all Nursing Department new hires and posts in each household within first three days of employment.
v. Reviews and ensures correct default labor code in payroll system for all new hires.
w. Assists with collection of data for payroll-based journaling as directed by Associate Director.
x. In absence of Nursing Administrative Assistant, reviews nursing department employees time clock punches daily and approves time punches as necessary.
y. In absence of Nursing Administrative Assistant, completes payroll bi-weekly by reviewing, making necessary corrections, and approving employees time. Adds on-call pay adjustment to appropriate nurse each week.
Personal Specifications:
1. Completion of state approved Nursing Assistant course and competency test, with current and unrestricted listing with NCDHHS.
2. Must possess unrestricted and current driver’s license with clean driving record per requirements of facility transportation policy.
3. Previous long-term care experience required.
4. Previous experience in managing schedules required.
5. Must demonstrate proficient computer skills including Google Docs and Microsoft Office.
6. Must have effective verbal and written communication skills.
7. Must maintain positive attitude remaining tactful and courteous when dealing with employees, residents, visitors, and the community.
8. Must show sense of responsibility and moral integrity.
9. Must possess the ability to make independent decisions, follow instructions, accept constructive criticism, and demonstrate attention to detail.
