Primary Function is to handle general office duties for the Service Department. Data entry, vendor and service repair orders. Many forms of customer/ technician contact including in-person and via phone. Assist in organizing the billing and time tracking portion of the Service Department – from customer pay to warranty submission.

Essential Responsibilities:

  • Customer service surveys via telephone, assisting customers in the service office as needed.
  • Payroll functions, locking timecards, scheduling vacations, managing office calendar.
  • Work with the Warranty team for various administrative responsibilities.
  • Opens work orders as directed, updates technician comments and prepares the work orders for closing. May close work orders as directed by the Service Manager. Keep track of invoices, mileage and financial totals via Excel.
  • Assists the Service Manager and Assistant Service Manager in staying on top of work orders in process to ensure that they are closed in a timely fashion.
  • Maintain files on the vehicle inspection report.
  • Order supplies as needed.
  • Assist manager and assistant manager with any tasks that need to be handled.
  • Monitors cash work orders and communicates with the Service Manager and Technician to ensure that equipment with an unpaid work order does not leave the dealership.

To perform this job successfully, an individual should know basic Computer skills and Repair Order Processing Software. Be customer service driven, have good communication and organizational skills. Be a self- starter and have a willingness to learn new things.

Certificates, Licenses, Registrations

Ability to use computer applications such as Microsoft Office and internet based programs.

General understanding of mechanical/technical terms is preferred.

High School Diploma or GED.

Sufficient manual dexterity to operate standard departmental equipment for example, operates a PC, cash register, calculator, copy machine and various other office equipment.

Must be able to lift 50 lbs.

Working Conditions:

Working conditions are normal for an office/sales showroom type atmosphere. Closed toes shoes are required. The noise level is moderate.
