Job Summary

The successful candidates will possess the skills necessary to provide exemplary customer service, effectively communicate through spoken or written word, quickly learn and apply a variety of City and department policies and procedures to the appropriate work situation, maintain good working relationships with other employees, agencies and the public, and perform work effectively during changing priorities and interruptions.

We are currently hiring for two full-time positions:

The Staff Assistant position for the Engineering Division performs a wide range of activities including routing mail and correspondence, reception, providing both internal and external customer support, processing notification letters to citizens, proofreading and reviewing written materials, scheduling meetings, processing project closeouts, and central filing. This position is responsible for providing general office and clerical support for the project management, inspection and survey staff within the Engineering division of Public Works.

The Staff Assistant position for Parks Operations Division performs a wide range of activities including answering multi-line phones, reception, proof reading and reviewing written materials, assisting internal and external customers, routing mail and correspondence, explaining policies and procedures, processing financial transactions such as invoices, timesheets, and purchase orders. This position is responsible for coordinating recruitment, meetings and scheduling, and general office support to the Parks Operations division of Public Works.

This recruitment may be used to create a six-month eligible list of qualified applicants for future hiring needs in other departments. If made a job offer in a department you do not wish to work in, you may decline the offer and be left in the eligibility list or if you are no longer interested, you may withdraw your application and be removed from the eligibility list.

What are the minimum qualifications?
  • High school graduate or GED and five years of progressively responsible clerical experience, including operating a personal computer and accurate data entry/transcription, or any combination of experience and training that demonstrate possession of the knowledge, skills, and abilities as listed, and ability to perform the essential job functions.
  • Typing certificate required - 40 wpm with 95% accuracy rate; some assignments may require 60 wpm with 95% accuracy rate.
  • Bilingual skills preferred.
  • Must pass a pre-employment background check.
  • Some positions may require possession of an Oregon Driver license and have a driving record that meets the City of Salem's driving standards or alternate means of participating in meetings and coordinating work at other locations.
  • Some positions may require passing a criminal background check necessary to obtain Criminal Justice Information System clearance and Law Enforcement Data System certification within 30 days of hire (clearance must be maintained throughout employment).
