The Opportunity

Ulteig is excited to announce that we are seeking qualified candidates for a Talent Acquisition Administrative Assistant role. We are looking for a Talent Acquisition (TA) professional that is driven, detail oriented with organizational and decision-making skills to support our US and Canadian recruiting. The Talent Acquisition Assistant is a crucial contributor to key Talent Acquisition activities. What You’ll Do

The primary responsibility of the Talent Acquisition Administrative Assistant is to provide an exceptional candidate experience throughout the full interview process. This role is an integral partner in managing the administrative needs of the Talent Acquisition team. The Talent Acquisition Assistant will enthusiastically support the recruiters and have a “can-do” attitude. This role is for someone who is comfortable with high volume scheduling tasks and looking to work with a high impact, and dynamic, team.

  • Schedule phone, video, and on-site interviews, including complex team interviews at multiple sites and across multiple time zones.
  • Arrange candidate travel, transportation, and accommodation as needed.
  • Communicate interview details to candidates, ensuring that they have all the necessary information for a successful interview experience.
  • Collaborate with TA Partners, hiring managers, and HR Partners to ensure positive candidate experiences throughout the hiring process.
  • Support system enhancements, and organize, update, and maintain a wide variety of resource information within the applicant tracking system.
  • Monitor the Recruiting Inbox.
  • Assist in organizing internal and external events such as career fairs and conferences TA may attend to recruit top talent.
  • Explore new ways to leverage UltiPro Recruiting that will result in process improvements and efficiencies.
  • Provide high-touch communication to all candidates and internal stakeholders (HR, TA, Hiring Managers), ensuring they are always aware of their status as a candidate or new hire as well as the necessary next steps in the process.
  • Assist with a variety of administrative tasks to support the Talent Acquisition strategy.
  • Generate recruiting and metrics analysis reports.
  • Meet defined Service Level Commitments
  • Other duties as assigned

What We Expect from You

  • Bachelor’s degree in Business, Human Resources, or related degree, OR equivalent experience
  • Minimum of 3 years of Talent Acquisition or Administrative experience preferred
  • Proven experience in Microsoft Software Applications (Word, Excel, Power Point, Outlook)
  • Excellent verbal/written communications with all levels of team members inside and outside of the organization
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Ability to address issues and activities with a sense of urgency, handle sensitive situations and confidential information with discretion
  • Ability to examine current practices and present new ideas for process improvements
  • Must have authorization to work permanently in the US
