Summary
Provides administrative services for the Production Department. FLSA Status: NON-EXEMPT
DUTIES AND RESPONSIBILITIES
May include, but are not limited to, the following:
- Orders, tracks inventory and tracks deliveries of all critical raw materials and chemicals. Critical raw materials and chemicals are those materials that can create a plant emergency shut-down situation if inventories are not maintained. Daily inventory oversight of critical raw materials and chemicals is required.
- Create all unit requisitions in SAP. Receive all requisitioned items in VIMS. Ensure that invoices are correct and match requisitions before payment is made.
- Manage or participate in special projects or analyses as assigned.
- Enter and track vacation, salary continuation, etc. for all Petro 1 and Petro 2 Production personnel.
- Document Keeper for all Petro 1 and Petro 2 Production Procedures, Forms and Logs (over 750 documents). Responsible for creating, revising and maintaining all procedures and forms in ATR Vanguard. Procedure responsibilities include creating all MOCs of Procedures in ATR Centurion.
- Retain and maintain all quality critical records and logs per ISO 9001 compliance. Records include logbooks, night orders, customer complaints, etc. See ETH-QSM2-PRD-16.1.1 for a complete list of records to be retained and maintained.
- Assist Production Group with tracking Environmental and Safety KPI such as MOC closure, root cause action items, NCR action items, etc.
- Responsible for tracking attendance to mandatory monthly safety meetings by all Ethylene Production personnel (Engineering, Operations, etc.). Report on the same to the Safety Department.
- Responsible contacting appropriate federal, state and local agencies (EPA, Louisiana State Police, LDEQ, etc.) during emergency and/or abnormal operating events.
- Serves as scribe for Petro 1 and Petro 2 during an emergency and/or abnormal operating event and is responsible for calling out additional personnel as needed.
- Assist Environmental Department with the scheduling of waste shipments for Petro 1 and Petro 2.
- Issue and track all Incident and Non-Conformance Reports.
- Prepare and distribute all Production Reports to include, special reports requested by Houston Corporate, Monthly Reports for Petro 1 and Petro 2 and Monthly Operations Reviews used by Lake Charles Management and Houston Corporate. Preparation includes researching and compiling information and data and checking the same for accuracy.
- Serves as primary Personnel Accountability point person for Petro 1 and Petro 2. Responsible for identifying, recording and accounting for all personnel in both units in the event of an emergency drill and/or actual emergency situation.
• Schedule meetings, order lunches, secure meeting locations, etc. • Scribe in meetings as requested. Document and distribute meeting minutes and/or action items.
• Maintain central filing system for all Petro 1 and Petro 2 Production Department records and documents. • Maintain departmental office supply inventory. • General typing of correspondence, memos, shift schedules and other general administrative duties.

EDUCATION, EXPERIENCE AND QUALIFICATIONS
- Successful candidates must satisfy background screening, including motor vehicle record screening, drug testing & pre-employment physical requirements before starting work.
- A current, valid Transportation Worker Identification Credential (TWIC) card is required.
- High School graduate and a minimum of one year business education.
- 3 - 5 years general clerical work experience preferred.
- Operate proficiently office equipment such as scanner, fax, PC and copy machine.
- Proficient in Windows, SAP, Excel, Word, PowerPoint, E-Mail and Access.
PHYSICAL DEMANDS
While performing the duties of this job, the employee is frequently required to sit; stand; walk; use hands to touch, handle, or feel; reach with hands and arms; and talk or hear. The employee is occasionally required to stoop, kneel, or crouch. The employee must regularly lift and/or move up to 10 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
WORK ENVIRONMENT
The noise level in the work environment is usually moderate as normally based in an office. Some of the work may be required in the operating units which can require usage of required PPE including safety glasses, hearing protection, etc. May also result in exposure to outside elements and may require usage of stairs and elevators
