How you will contribute to our Purpose:

The Vice President, Property & Facility Management is a mission-driven, strategic, and operations-oriented thinker that will manage the YMCA of Austin’s properties, grounds, and other assets. You will provide direct leadership and accountability to the maintenance, cleanliness, and development of the association’s real estate, to include all annual capital planning projects. You will manage a Capital Expense budget of over $3M, and will partner with Senior Leadership to manage center occupancy and facility expenses.

As the Vice President of Property & Facility Management, you will develop long-range strategic plans for the YMCA of Austin’s properties, grounds, and other physical assets and will oversee the total operation of the Facilities Department. This will include the development of annual capital expense budgets, in partnership with the COO, Senior Leadership Team, and the Facility & Growth Committee. You will be responsible for maintenance and upkeep of capital improvements, building renovations, fitness equipment, improvement projects, facility compliance, and best-in-class quality in member experience in regards to facilities.

The VP, Properties & Facility Management must demonstrate successful experience in facility management, staff supervision and training, construction project management, contract negotiation, fiscal management, and experience in leading official bid processes. In addition, we aspire to fill this position with someone who has demonstrated knowledge and experience in sustainability development and practices. You must possess excellent written and oral communication skills.

You will also support the enterprise’s commitment to diversity, equity, inclusion, and belonging (DEIB). Reporting directly to the Chief Operating Officer, you will partner closely with other senior leaders throughout the enterprise to achieve outcomes.

Salary Range: $130,000 to $144,000, depending on experience

What are the details?

Enterprise-wide Facility & Maintenance Leadership (40%)

  • Along with the COO, the Senior Leadership Team and the Facility & Growth Committee, set a vision for YMCA of Austin to focus on providing the best-in-class facilities and properties
  • Along with the COO, implement a matrix management structure and system (select positions having dual reporting to the center and association lead) to ensure alignment among operations, program expertise, and association hub leadership with a high degree of accountability
  • Leads Facility Directors Impact Team and works with center leadership to monitor and evaluate project planning and property maintenance
  • Manage the Association's janitorial contracts, lawn care contracts, aquatics equipment contracts, and HVAC contracts to include periodic in-term reviews, ensuring outcomes are met at a value acceptable to the Association.
  • Maintains a facility maintenance program for the Association including appearance, integrity, and functionality to ensure that all facilities, grounds, and equipment are fully operational and inspected in accordance with preventative schedules. Manages maintenance and upkeep of equipment in regards to warranty, calibration service, or preventive maintenance agreements
  • Ensures the Association facility and maintenance team is managing and responding to the Facility Dude/Asset Essentials (online ticketing system) to ensure completion of requests, follows up on outstanding ticket items, and monitors preventive maintenance. Ensures timely response to general maintenance requests and emergency.
  • Leads Facility Directors and works with center leadership to monitor and evaluate project planning and property maintenance
  • Responsible for establishing and fostering strong internal and external relationships that positions the YMCA to meet facility improvement plans
  • Work with staff and volunteer leadership as well as subject matter experts to establish a set of sustainability practices for the organization
  • Handles OSHA facility regulations and compliance issues and partners with the Director of Risk, as needed
  • Maintain a facilities emergency plan in conjunction with the larger organization’s emergency procedures
  • Assists in developing and fostering a culture of innovation across the organization when considering facility and property new development, renovations, and improvements
  • Along with the COO, CXO, and Marketing Department, develop, maintain and ensure compliance with a guide for facilities standards to ensure consistency of look, feel, and experience, as well as efficiency of operations


Facility & Capital Projects (40%)

  • Oversee the coordination of all capital improvement projects including developing RFPs, procurement of design team and contractors, and project management
  • Evaluate and/or facilitate the evaluation of properties and facilities the YMCA is considering acquiring
  • Create and maintain an on-going 5-year Capital Plan for the Association
  • Collaborate with center leadership to identify and project necessary improvements annually
  • Manage the short and long-term maintenance needs of the Association, including budget developments, project coordination, and vendor interactions
  • Possesses the ability to select vendors that have the best interest in mind and can provide quality assurance in all projects
  • Implement sustainable design and building standards and practices as planned per project
  • Plans, directs, reviews the work of staff and contractors


Performance Achievement & Results (20%)

  • Responsible for attracting and retaining a high level of facility directors
  • Holds team accountable for achieving at high levels to meet strategic goals and objectives

  • Accountable for achieving the desired facilities outcomes (excellence in appearance, cleanliness, and maintenance) within the operational and capital budgets, while elevating barriers and challenges to achieving outcomes and budgets
  • Along with the Chief Operating Officer, develops OKRs and strategies related to performance achievement and DEI to meet organizational strategic imperatives
  • Implements a goal-based leadership approach (OKR methodology) and ensures the department is actively working towards supporting organizational level objectives and key results
  • Conducts Cycle Check-ins and the Annual Check-In with direct reports to ensure progress with OKRs, provide ongoing coaching and feedback, and discuss development opportunities

  • Education & Experience: You have a bachelor’s degree in facility management, building design, business management or equivalent field with a minimum of 10 years of progressively responsible and successful leadership experience in facility management. You are well-versed in all compliance and regulatory statutes and requirements associated with facilities operation (OSHA, ADA, EPA, building code, etc. Ideally, you also have experience in sustainability development and practices.
