ACCOUNTING ASSISTANT
Health Net of West Michigan has an opening for a full time (36 hours per week) Accounting Assistant. This position will support Health Net’s Accounting Department and assist the Accountant with completing Health Net’s weekly and monthly accounting duties, and various operations responsibilities. The Accounting Assistant will complete accounting tasks including but not limited to, processing accounts payable invoices, assisting in month end close, and providing support for Health Net’s annual audit. The Accounting Assistant will support Health Net’s operations in various ways including but not limited to, documentation updating and writing, and compliance monitoring. This position offers potential for growth, and opportunities to contribute to a variety of nonprofit finance tasks.

Pay range: $45,000 - $50,000 per year.
Essential Job Duties and Responsibilities:

Finance Duties
  • Processes Accounts Payable:
    • Controls expenses by receiving, processing, verifying, coding and reconciling invoices and employee expense reports, and processing payments by way of Electronic Funds Transfers (EFT’s) and paper checks. Must be accurate with totals.
  • Maintains:
    • Accounts Payable and other accounting reports and spreadsheets, having the ability to monitor, create and understand formulas. Must have ability to create, comprehend and monitor formulas within Excel, and to identify problems and/or inconsistencies when they occur within a spreadsheet.
  • Posts:
    • Accounts Receivable payments into Excel spreadsheet and accounting software timely and accurately.
    • Routine journal entries into accounting software timely and accurately.
  • Reconciles:
    • Bank statements, Accounts Payable, and several other trial balance accounts timely and accurately.
  • Maintains:
    • Monthly prepaid schedules, allocation accounts Excel spreadsheets, and employee benefits spreadsheets.
  • Sends emails to vendors, subcontractors, and other contacts.
  • Maintains several filing systems within the department.
  • Conducts research when there are discrepancies relating to invoices or journal entries.
  • Assists in various month end closing duties.
  • Prepares and sends annual 1099’s and 1096.
  • Supports annual audit and 990 completion.
  • Provides support to other staff as requested.
Operations Duties
  • Assists in completion of reports and documentation required by Health Net funders.
  • Assists with periodic review/update of documentation.

General Duties
  • Promotes teamwork and good communication among all staff and contractors.
  • Understands the extremely confidential nature of the position and documents relating to the position and adheres to all internal control measures and policies.
  • Supports the organizational mission, vision, values, key strategies, and development of collaborative relationships with the organizations that interface with Health Net.
  • Adheres to all Health Insurance Portability and Accountability Act of 1996 (HIPAA) standards to protect client Protected Health Information (PHI).
  • Other job duties and responsibilities as assigned.

PART II: QUALIFICATIONS

Education, Skills and/or Experience :
  • Must have at least an Associate’s degree in accounting or finance.
  • Must have mathematic skills and ability to analyze figures and formulas.
  • Knowledge of accounting principles and theory.
  • Experience with accounting software packages similar to Microsoft Dynamics GP, etc.
  • Must have proficiency with Microsoft Office 365 applications, especially Excel spreadsheets - must have ability to create, comprehend and monitor formulas within Excel, and to identify problems and/or inconsistencies when they occur within a spreadsheet.
  • Ability to learn new software systems.
  • Ability to work independently with minimal supervision and with a team mindset.

  • College coursework in the areas of nonprofit, public administration, business, or healthcare services.

PART IV: WORKING CONDITIONS

Physical Demands/Work Environment:
  • Employees in this position may need to remain stationary for extended periods of time and occasionally move about inside the office to access file cabinets, office machinery, etc.
  • Occasionally moves or transports items (office equipment/supplies) weighing up to 30lbs.
  • Moderate level of stress caused by tight deadlines and workload.
  • Moderate level of mental and/or visual fatigue and/or eyestrain may result from looking at a computer screen for extended periods of time.
  • Possible work outside of normal business hours.
  • The open floor plan requires the ability to work in an office environment with moderate noise levels and activity.
  • Occasional local driving for meetings may be required.
  • Comfort with a hybrid (remote and in-office) workplace model and schedule
