ADMINISTRATIVE ASSISTANT I

Summary of Work
This position is one in which the individual will be required to perform office duties and responsibilities associated with the Consumer Protection and Antitrust Division to include the following:
1. Receptionist duties include providing service to walk-in customers; receiving incoming calls from the general public and answering general questions; recording and delivering incoming messages for the Consumer Protection and Antitrust Division.
2. Provide assistance to consumers who call or walk-in regarding the status of their consumer complaint, or come into the office with questions about their consumer rights. Research companies on the Progress computer system and report to consumers on the company's status with the Consumer Protection and Antitrust Division.
3. Document and route all incoming mail for the division to include date stamping; assigning document numbers; inputting information into the Progress computer system; and routing the mail to the appropriate staff members.
4. Review all outgoing mail to ensure proper postage and accurately addressed; record into the
Progress computer system that the document has been mailed; update files with current information.
5. Filing, record retention, and maintain Division’s e-mail account.
6. Other duties as assigned.
In addition to the monthly salary, this position includes fully paid health insurance for employee and family, the option to participate in employee-paid dental and vision for employee and family,
participation in the state NDPERS defined contribution retirement plan as well as the option to participate in the 457 deferred compensation plan, the option to contribute to a medical spending account, and earning annual and sick leave.
Minimum Qualifications
1. Associate degree with major coursework in office support or business or office education.
2. One year of experience performing a variety of office support, clerical, or secretarial duties that included supervisory, lead work or office coordination responsibilities. (Note: The hiring authority will consider substituting additional work experience for the education requirement on a year-for-year basis if the experience provides the knowledge and skills required to perform the duties of this position.)
3. Demonstrated working knowledge and understanding of a personal computer.
Preference will be given to candidates who have demonstrated experience using the most current Microsoft Office programs including Microsoft Word, Excel,
Outlook, and databases.
4. Excellent prioritization, time management, organizational, multi-tasking, accuracy, and attention-to-detail skills.
5. Demonstrated ability to communicate tactfully and with emphasis on customer service.
6. Ability to establish and maintain effective, harmonious working relationships with co-workers, supervisors, criminal justice agencies, and the public.
7. Ability to maintain a high degree of confidentiality.
8. Display strong interpersonal skills in dealing with customers and co-workers, utilize appropriate telephone etiquette, demonstrate appropriate written and verbal communication skills, demonstrate ability to perform standard office tasks and operate standard office equipment such as telephone, computers, transcription equipment, printers, copy and fax machines, calculators, postage meters, and imaging equipment.
9. Position requires ability to type/keyboard at a net of 55 wpm.

11. Successful completion of the interview process, reference checks, and standard background and criminal record checks to determine knowledge, skills, and abilities to perform assistant attorney general tasks.
