Job description

Summary/Objective This position will assist administrative duties as well as customer service and human resources responsibilities as needed.


Essential Functions

Administrative Duties

  • Order supplies for PBS - office janitorial, etc.
  • Oversee cleaning staff - scheduling and sending hours to payroll
  • Scanning and filling receivers and pick lists
  • Assist with attaining and charting show prizes
  • Distribute and collect safety quizzes
  • Monthly fire extinguisher inspections and quarterly first aid kit inspections
  • Maintain files for President, PBS Consumption, Resumes, Credit for Samples, etc.
  • Process and distribute all outgoing and incoming mail
  • Coordinate office lunches and meeting breakfasts/treats as necessary
  • Assist with monthly meeting agenda
  • Order flowers, cakes, purchase cards, etc. as needed for funerals and other events
  • Order PBS clothing for employees
  • Assist with the show room/sample room as required
  • Other duties as assigned


Human Resources Duties:

  • Maintain confidentiality
  • Assist the HR Manager with new hires for PBS including scheduling pre-employment drug tests, copying and scanning IDs, first day paperwork, new hire safety training, etc.
  • Other duties as directed by Human Resources


Customer Service Duties

  • Help add and maintain system files for items, customers and vendors.
  • Other data entry projects as requested
  • Enter and Confirm orders in a timely and accurate manner.
  • May authorize credit to the customer based on damaged products etc.
  • Works with dispatch to assist the customer with delivery issues
  • Answer customer inquiries
  • Follows up with customer on requested information and their order status in a timely manner.
  • Is available to be in the phone loop to answer incoming customer calls when needed
  • Keeps current on promotional sales item, new products etc.
  • Refers customers to other employees for technical assistance
  • Builds rapport with customers by providing outstanding customer service
  • Assists team members with the departmental workload and contributes to a team environment.
  • Other duties as assigned

This position has no supervisory responsibilities.


Work Environment

Works indoors. Extended periods of sitting at desk and working on a computer.

Position Type/Expected Hours of Work This is a full-time position. Hours of work are Monday through Friday from 8:00am to 4:30pm.

Required Education and Experience

  • High School Diploma
  • Basic Math Skills
  • Excellent interpersonal skills on the phone and in person
  • Strong organizational skills
  • Typing speed of 40 WPM
  • Proficient at Microsoft Office programs
  • Data entry accuracy
