I. OBJECTIVE

The Director of Operations is a Senior Ladership position that:

1. Provides oversight, direction, and management of Maintenance and Custodial Managers and their respective teams (Operations Department).

2. Oversees staffing, workflow and maintains systems for the Operations Department.

3. Responsible for department goal setting, implementation and Key Performance Indicators (KPIs) i.e. budget, Computerized Maintenance Management Software (CMMS), etc.

4. Serves as the client facing side of the Maintenance and Custodial teams and the liaison between Altair, Clients, and Vendors.

5. Oversees projects, hosts job meetings, develop job specifications, and complete bid comparisons and reviews.

II. RESPONSIBILITIES

The essential functions of the job include but are not limited to the following:

1. Staff Related Tasks

a. Set direction for Managers so tasks are completed in a proper, timely manner by Managers and their respective teams.

b. Create specifications for capital improvement projects at Client properties as assigned or where needed. Manage Altair led projects and participate in job meetings as required.

c. Administer systems for dispatching technicians, recording data, tracking inventory and assets, and staff training and development.

d. Serve as the administrative point of contact for maintenance Vendors, approve invoices and prepare Project Review Forms.

e. Make regular visits to properties to evaluate conditions, identify potential issues and prepare for large projects. Frequency and timing to be determined based on input from Operations Department and Property Management Department, or as directed by General Manager.

f. Recruit for all positions in Operations Department, conduct interviews, employee onboarding and administer training schedules.

g. Develop and implement continuing education and site-specific training.

h. Self-schedule for specific tasks that require site visits, additional oversight, or support to ensure work is done in a prompt and correct manner.

i. Respond to escalated afterhours calls when additional support or guidance is needed and self-dispatch as appropriate in accordance with Altair’s on-call schedule.

j. Schedule weekly staff meeting with direct reports (Facilities Manager, Janitorial Manager, Maintenance Dispatcher). Ensure that each direct report is hosting weekly meetings with Maintenance Technicians, Janitorial Workers and participate as needed.

k. Serve as the escalation point for Maintenance Technicians, Janitorial Workers, Operation Team Managers, and other Managers (including other department managers when appropriate).

2. System Related Tasks

a. Oversee Altair’s CMMS. Ensure tasks are being generated when appropriate, updated regularly, contain accurate, relevant data, and are closed out when complete. Assign tasks to correct teams for dispatching.

b. Assist Dispatcher and Managers with staff workload management in their absence or when unavailable.

c. Oversee client computerized energy management systems, access systems, computerized HVAC systems and security/fire protection systems, as well as other systems within Altair managed properties.

d. Keep relevant on-call data updated within Altair CMMS for all properties including preferred vendors, passwords and codes, key system locations and shutoffs.

e. Supervise the maintenance and storage of Altair equipment. Ensure all equipment is returned after use, kept clean, and in good working order.

f. Administer Altair’s on-call schedule, time clock and approve Manager time off requests.

g. Oversee access control systems and associated policies and procedures.

h. Stack emails daily using The Stack Method.

3. Client & Tenant Related Tasks

a. Provide highest level of customer service and response to tenants, clients, and other stakeholders.

b. Participate in Monthly Operating Reviews and other client meetings as requested.

Perform other duties as required for the successful operation of the business.

III. QUALIFICATIONS

Education: Bachelor’s degree and 1-2 years of project management experience.

Experience: 2 years in similar role.

IV. SPECIAL REQUIREMENTS

1. Knowledge of many types of building equipment and operating systems.

2. Working knowledge of plumbing, electrical, HVAC, and carpentry.

3. Self-directed and motivated.

4. Customer-service oriented.

5. Presents in clean, professional dress or uniform as required.

6. Ability to handle multiple projects and tasks.

7. Vision and hearing correctable to within normal range to communicate with tenants,

contract services, etc.

8. Ability to work outdoors in all seasons.

9. Ability to work at elevated heights.

10. Able to safely lift 50lbs.

11. Valid driver’s license and reliable transportation.

V. EQUIPMENT UTILIZED

1. Cellphone (CMMS, Microsoft Teams, Outlook).

2. System controllers (HVAC, security, fire protection).

Pay: From $45,000.00 per year
