The West Virginia School of Osteopathic Medicine (WVSOM) seeks a motivated, qualified individual to serve as the Grants Administrator in the Office of Research and Sponsored Programs (ORSP). This individual manages intramural grants and oversees the pre-award process for extramural grants. Reporting to the Associate Dean of ORSP, the successful candidate will collaborate with the Office of Business Affairs (OBA) Grant Accountant to ensure continuity between the pre- and post-award processes. This position is also responsible for reporting, training, and monitoring compliance related to grant administration (e.g. time and effort). This position supports faculty in proposal submission and re-submission, including working with faculty to check the accuracy of budgets and coordinating with the post-award staff in the OBA.
The Grants Administrator will help to continue and expand WVSOM’s intramural and extramural grants program that facilitates research and ensures compliance with all state, Federal, and local regulations and requirements. The successful candidate will do so with a team oriented, collaborative approach.
This is a full-time, non-classified position; it is exempt from FLSA regulations concerning overtime; base salary is commensurate with education and experience, plus a full state benefits package.
Not all activities of this position occur within the confines of an 8:00-4:30 schedule and may require evening and weekend scheduling as needed. The weekly schedule for this position will be established between the supervisor and the employee and approved given the needs of the department and the institution.
This position has been designated as Essential. This means that when WVSOM is faced with an institutional emergency, employees in such positions may be required to remain at their work location or to report to work to protect, recover and continue operations at WVSOM.

Education/Knowledge

Bachelor's
Required Licenses/Certification
Successful candidate will have a Bachelor’s Degree in Bachelor’s degree in business administration, accounting, finance, auditing, or other related field required; an equivalent combination of relevant and recent experience and training which provides the required knowledge, skills and abilities may be considered.
Training will be provided, however a strong understanding of computers is required. Part of the position requires learning some of the unique process that WVSOM has, as well as learning skills related to the position.

Duties and Responsibilities

  • Drafts policy updates regarding grants/sponsored programs (in collaboration with the Grants Financial Officer in OBA)
  • Remain current on changes to Federal, State or local regulation related to sponsored programs or grants
  • Assists with grant proposal budget and development (in collaboration with the Grants Financial Officer in OBA)
  • Manages the internal pre-award approval process, including review of grants for grammar, spelling, cost share/match commitments, and clarity.
  • Manages eRA commons and Grants.gov, as well as other extramural electronic and paper submissions
  • Works with PI to coordinate documents for applications
  • Conducts grant intake, review and close-out meetings with grant accountant
  • Reviews and approves grant updates and reports (in collaboration with the grant accountant in OBA)
  • Maintains database of sponsored program applications and awarded grants
  • Provides faculty development on grants
  • Identifies relevant grants for application, based on faculty keyword input and needs
  • Updates faculty on appropriate grant opportunities
  • Assists PIs with grant management including development of contracts and subawards (in collaboration with the Grants Financial Officer in OBA)
  • Approves time and effort reports
  • Trains employees on the grant time and effort system
  • Tracks intramural awards
  • Maintains NCURA or NGMA membership and attends trainings
  • Maintaining/updating sponsored programs webpages
  • Other related duties as assigned or directed.
