General Purpose:
Perform responsibilities as assigned and provide a variety of assistance to firm administrative departments, attorneys, paralegals, secretaries and other colleagues as needed and requested.
Essential Duties/Responsibilities:
- Assist as needed with all projects, overflow work, administrative work and other duties as required (i.e., copying, scanning, filing, preparation of binders, document organization, etc.) to support and aid in the workloads of attorneys, paralegals, legal assistants, legal specialists and other colleagues throughout the firm.
- Assist with document production including but not limited to: organizing documents; under attorney or paralegal direction, designate documents as restricted, confidential, privileged, or other specified determination; prepare and maintain corresponding logs; prepare documents for review by opposing counsel; index documents after outside review.
- Create and maintain notebooks and indices for discovery, key documents, witness depositions, exhibits, court/jury notebooks, trial notebooks, etc. for use by attorneys and others.
- Manage administrative tasks as requested, including, but not limited to, processing and disseminating mail, preparation of audit letter responses, billable time input, expense reports, check requests and reviewing client billing statements.
- Effectively schedule and manage travel arrangements as requested.
Other:
- Pull and copy cases, statutes, deposition excerpts, etc. cited in briefs.
- Research online for docket information and obtain copies of documents filed in various courts.
- Accomplish organization goals by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.
- Assist with other duties and projects as assigned.
Computer Technology:
- Code documents, including objective and subjective document reviews and summaries; enter coded information in databases.
- Generate reports using information from databases.
- Prepare documents for scanning.
- Search for documents in databases by issue, witness, source number, etc.; prepare and print reports for databases.
- Knowledge and experience working with computer programs/applications including but not limited to Microsoft Office (Outlook, Word, Excel, OneNote), Westlaw, LexisNexis, PACER, CaseMap, TextMap, Relativity, IManage, Adobe/Nuance.
- Load deposition transcripts and maintain files; search for specific witness testimony and related information related to deposition testimony.

Job Qualifications (Education, Experience and Certification):
- High school education with 3+ years secretarial/office assistant experience. Experience working in a law firm a plus.
- Accurate typing; working knowledge of personal computers; strong knowledge and skills in MS Outlook, Word, Excel, PowerPoint and Adobe Acrobat; excellent grammar, spelling, punctuation and proofreading skills.
- Knowledge of basic office equipment (i.e., copier, scanner, telephones, etc.).
- Aptitude to learn new computer programs.
- Excellent professional communication and interpersonal skills to deal with a wide variety of people inside and outside the firm.
- Excellent organizational skills to handle multiple priorities and the work assigned by several attorneys, paralegals, legal assistants, legal specialists and other colleagues throughout the firm.
- Ability to maintain composure, behave professionally and work effectively under pressure to meet tight deadlines.
- Excellent judgment, problem solving and decision-making skills to handle a variety of responsibilities under general supervision.
- Ability to work effectively independently and as part of a team.
Physical Requirements:
While performing the duties of this position, the employee must have the ability to sit, stand and/or walk for extended periods of time; manipulate (lift, carry, move) weights of at least ten (10) pounds; have repetitive wrist/hand/finger movement to work on a computer and/or related office equipment; speak clearly and concisely so listeners can understand; and regularly understand the speech of another person.

Colorado Salary Range - $22.42 - $37.37. A discretionary bonus may be available based upon performance.
