Woodlake Outdoor is searching for a Branch Office Administrator to join its growing team in Dallas, TX! Our Office Administrator provides general office support with a variety of clerical activities and related tasks in support of the Construction Department. Reporting to our Director of Administration, this role will be responsible for the administration and workflow of processes within the branch by working with management to ensure all business metrics are addressed and met daily.

This is a fulltime, benefit eligible role with typical hours being 8am-5pm, Monday-Friday. Responsibilities:

  • Create, update and manage a variety of production and administrative reports (primarily in Excel) for management and our Construction dept. on an ongoing, frequent basis
  • Answer office telephone system and directs calls accordingly. Greet and direct visitors to the company and/or assists walk-in applicants with hiring process
  • Assist in the ordering, receiving, stocking and distribution of office supplies.
  • Assist the Construction department team with weekly time entry/review in Aspire Payroll and assures all data is regularly updated and accurate.
  • Assist in all car inventory fleet needs including license and registration, regular maintenance for vehicles, driver qualifications and card distribution.
  • Assists with accounting activities such as monthly billing, PO processing, expense reports and credit card management and ensuring timely and accurate input for AP.
  • Manages month-end tickets by working with Account Managers on closing/canceling/moving open tickets.
  • Assists in tracking all safety incidents with Corporate HR and handles incident report calls and posts in ASPIRE.
  • Creates email notifications for variety of service reminders
  • Assists with creating new and renewal customer contracts
  • Assist with translation where necessary.
  • Assist with printer/router/security camera issues at the branch level.
  • Other projects: Signage for facility, tags for spray equipment, updating pictures on wall, assist with printing maps & documents, various random manager projects or tasks upon request.

Qualifications

  • High School diploma or GED required, associate’s degree preferred
  • Minimum 4 year of office/administrative experience required with proficiency in Microsoft Office Excel
  • Experience working in accounting systems is ideal
  • Bilingual (English/Spanish) is a plus
  • Excellent verbal and written communication skills.
  • Is comfortable working independently as well as collaboratively
  • Shares in company values and can demonstrate those in the field

Pay: $48,000.00 - $52,000.00 per year
