GENERAL DESCRIPTION
The Operations Assistant is responsible for collaborating with Consumer banking, and Deposit Operations team members to develop or update all written policies, procedures, and user manuals in support of key department initiatives. The incumbent in this position ensures that all documentation is in compliance with applicable regulations and standards.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Produce policy and procedure documentation by conducting process owner interviews, using research utilities, as well as search engines (Google) and workflow documentation tools (Microsoft Visio).
- Collaborate with internal stakeholders (Legal & Compliance departments) to ensure that policies and procedures address key regulatory and/or consumer compliance requirements.
- Work with process owners to document and identify processing control points within operational workflows.
- Update policies, procedures and manuals to align with future core processes.
- Update policies and procedures and user guides as deemed necessary.
- Determine veracity of reports and whether or not they enhance operational controls and efficiencies.
- Partner with department process owners to expand control testing initiatives that align with Risk Management, Internal Audit and Compliance Department expectations.
- Perform other duties as requested.
SKILLS, EDUCATION AND EXPERIENCE
- Bachelor’s Degree or proven work experience required.
- Minimum 5 years of work experience in a financial services organization or comparable field.
- Strong problem-solving skills and excellent written and verbal communication skills.
- Working knowledge of basic economic and business concepts.
- Strong interpersonal and communication skills (verbal + written).
- Ability to work independently.
- Must have string organizational skills and have the ability to multi-task.
- Advanced proficiency with MS Office Suite and other necessary Bank systems.
- Must demonstrate sound judgement, adhere to professional standards and exercise strict confidentiality in matters requiring discretion.
