Description: Betts Truck Parts & Service is seeking a highly motivated Project Coordinator to join our team! The Project Coordinator manages Betts TPS contracts and is responsible for keeping track of all existing contracts and ensuring that these agreements are properly documented. Manages the electronic/and or hard copies of the contracts, updates customer records, and reviews contracts to ensure accuracy. Oversees different contracts' fulfillment to guarantee that all agreements and stipulations are met. Additionally, this role will assist all TPS teams to manage their vehicles and drivers which will involve frequent communication across all levels of TPS's Operations.
*This role is remote; successful candidates must reside on the west coast.

Essential Duties and Responsibilities
- Embraces The Betts Way framework and leads by example.
- Analyze and understand contracts along with the information needed to fill them out.
- Gather and organize all required Betts TPS Company information to accurately complete contracts.
- Work with Branch Managers, Outside Sales, VP of Sales Operations on costs, and pricing models for each customer/municipality.
- Complete and proof contracts.
- Partner with the leadership team to confirm accuracy.
- Obtain required signatures and submit to customer/municipality.
- Organize and file contracts by customer/municipality for future reference.
- Maintain business licenses, alarm contracts, and other duties as assigned.
Vehicle Management
o Organize vehicles in Enterprise site, according to driver and location.
o Assist TPS leadership to manage their vehicles, by ordering vehicles and returns.
o Coordinate vehicle maintenance, ensuring driver compliance, managing vehicles, and supporting quarterly vehicle audits.
o The role will involve frequent communication across all levels of TPS operations, including Drivers, Branch Managers, and the Safety Department.
Fleet Tracking
o Organize vehicles in GeoTab site, according to driver and location.
o Send out daily GeoTab safe driver emails.
o Send out weekly, monthly and quarterly scores.
Logistics
o Manage, assign and organize fuel cards by vehicle and location in the Wex site.
o Maintain and manage driver list and PINs (add/delete).
o Maintain and manage fuel cards (new, replace, term).
Accounting Support
o Assist the accounting department with accounts payable and branches to quickly solve purchase order discrepancies.
o Assist accounts in receiving collections and postings for select branches.
Requirements:
- Relevant experience is defined as experience related to fleet maintenance, three or more years of increasingly responsible experience performing contract administration activities
- Valid California Class C Driver’s License that allows you to drive during your employment
- Excellent & effective interpersonal and communication skills
- Strong organizational and time management skills
- Ability to work independently and effectively in a fast-paced environment to meet deadlines/deliverables
- Ability to multi-task with strong follow-up skills
- Ability to create and maintain positive relationships with external vendors & internal customers
- Advanced knowledge of contracting principles including various contract types, proposal preparation and analysis, cost and price analysis, overhead rate analysis, contract change processing, and dispute resolution
- Prepare and revise contracts, contract amendments, and other documentation related to contract administration activities
- Comprehend and apply the terms and conditions of complex contracts
- Proficient working knowledge of MS office programs
