Introduction

The intent of this job posting is to establish an eligibility list which may be used to fill current and future, permanent and limited-term, vacancies for up to two (2) years. Purpose

Performs a wide variety of responsible and complex office support functions for an assigned functional area. Specific duties may be performed in support of a range of activities including accounts payable, accounts receivable, payroll, purchasing, customer billing, general administration and other similar areas. Positions allocated to this class generally include lead supervisory responsibility over lower level clerical staff and employees and may train, direct, and monitor the work of others.

Nature & Scope:
This is the advanced journey/lead level classification within the Office Specialist series. This job class is distinguished from the lower Office Specialist classifications by the assignment of lead supervisory responsibilities and/or by the performance of the more difficult and specialized clerical work. Employees in this classification receive limited supervision within a broad framework of policies and procedures.

Major Duties & Responsibilities

Work includes but is not limited to the following: (Note: While in general all functions/duties are essential, individual positions within this class may not require all.)

  • Provides lead direction to lower level clerical staff and employees as assigned for a specific work group; organizes and assigns work, provides training, sets priorities, and follows up to ensure coordination and completion of assigned work.
  • Performs a wide variety of the more complex and specialized clerical support functions related to the activities and operations of an assigned area, which may include handling phone calls, sorting and distributing mail, filing, maintaining bulletin boards, scheduling meeting rooms and facilities, making and finalizing travel arrangements for department staff, greeting and screening visitors, and similar office support activities.
  • Uses a personal computer for data input, verification, and retrieval of information; generates standard statistical and special reports; prepares a variety of materials, memos, and other correspondence from own composition notes, brief instructions, or rough drafts.
  • Maintains a variety of complex computerized and/or manual records and spreadsheets; compiles and organizes data; conducts research and obtains relevant information via the Internet and other related resources.
  • Establishes and maintains automated and manual tracking and filing systems.
  • Reconciles records and statements, and general ledger account sheets to subsidiary ledgers and records.
  • Processes forms, orders, and other transactions such as multiple orders, billing changes, energy program loan payments; verifies accuracy and completeness and checks for or obtains proper authorization.
  • Prepares and ensures the accuracy of journal vouchers, designated tax returns, deposits, petty cash disbursements, and/or statistical reports; compiles appropriate back-up information, calculates totals, balances, and controls.
  • Responds to customer inquiries; references District policies, rules, and regulations; provides information; investigates/resolves problems; distributes customer correspondence to proper area for handling.
  • Maintains and administers confidential records and NRC safeguards information in accordance with District standards and NRC requirements.
  • Performs detailed special projects and research assignments as assigned.

Minimum Qualifications

Education: Equivalent to completion of sufficient formal and/or informal education and relevant work experience to provide the necessary knowledge and skills.

Knowledge Of: Basic supervisory principles and practices; safe operation of office, mail, and copy equipment, such as high speed mail openers/extractors; technical and complex procedures, rules, and policies governing or impacting office or systems work assignments; proper English usage, grammar, punctuation, vocabulary and spelling; basic methods of arithmetic and simple algebra; operation of personal computers and the use of word processing, spreadsheet, Excel, Windows, OSCAR, Power Point, and other related software applications; and, appropriate SAP modules.

Skill To: Plan, direct, and review the work of others on a day-to-day basis; organize, prioritize, and coordinate multiple work activities and meet critical deadlines; learn the activities and operations of the assigned office area; perform a wide range of highly responsible, technical and complex clerical/administrative office support work; conduct detailed and thorough research; operate personal computers and use specified computer applications; establish and maintain effective office procedures and accurate record keeping and filing systems; communicate effectively, both orally and in writing; interpret and apply policies, procedures, standards, and requirements related to area of responsibility; and, safely use a variety of business office equipment.
