As the Specialty Surgery Counselor Team Lead, you will be responsible for counseling patients for surgery, scheduling all pertinent appointments to include preoperative and postoperative appointments, and ensuring all needed forms and monies due by patients are collected prior to surgery. You will act as a resource and leader to other Specialty Surgery Counselors, including participating in training and development, and aiding in streamlining position processes. You will also communicate ideas to enhance efficiency within the department.

Responsibilities:

  • Oversee team of Specialty Surgery Counselors and act as a resource to the team.
  • Mentor, coach and develop team members to improve performance and enhance skills. This also includes building morale and creating a positive environment.
  • Encourages a team-oriented environment; understands and follows the professional, teamwork, and customer service standards. Leads by example.
  • Establish and maintain positive, respectful working relationships with all physicians, staff and patients.
  • Participates in interviewing process of all new SSC team members.
  • Provide training support to new and established team members. Collaborate on training plan with Management and execute accordingly.
  • Participates in ongoing training and continuing education opportunities, including clinical and surgical observation.
  • Coordinate timekeeping functions in UltiPro by making timesheet adjustments and submissions.
  • Plan Counselor coverage to locations based on the needs of the business.
  • Ability to make decisions within established protocols and with minimal supervision.
  • Ability to delegate tasks and coordinate a plan for successful completion of said tasks.
  • Responsible for making sure the team successfully adheres to AVP core values.
  • Schedules all applicable in-office procedures and surgeries per Doctor orders.
  • Schedules all pertinent appointments, appropriate by specialty: Pre-operative and post-operative appointments to include the return appointment to the co-managing doctor.
  • Able to effectively and clearly educate patients on ophthalmic medical conditions and consent patients for procedures and surgeries.
  • Ensures all consents and required paperwork are completed, signed by scheduler and patient, and at the surgery center business days prior to surgery.
  • Responsible for initiating/obtaining and/or tracking medical clearance requests.
  • Responsible for creating charts, patient packets, and ensuring proper paperwork is prepared for patient signature. Also responsible for relabeling charts in case of rescheduling.
  • Responsible to fill surgeon’s schedules to capacity and understands the appropriate steps to take to try and fill the days. Also, is responsible to notify management, after all efforts have been exhausted, when a surgeon is not booked to capacity.

Responsible to follow up on canceled procedures and patients who no show on day of procedures in which the case has not been rescheduled.

  • Ensures all patient out of pocket money owed is collected no later than 3 business days prior to surgery.
  • Runs reports in NextGen as needed to identify patients who have money due.
  • Ensures any amounts not included in surgery is communicated to the patient. Such as co-pays and out of pocket amounts for post-op kits, pre-op, H&P’s, follow-ups outside PO period, and special testing such as photos and/or scans.
  • Performs tasks in a timely fashion to assure quality patient care.
  • Performs any and all additional duties as reasonably assigned.

Qualifications:

  • High School Diploma or GED
  • 2 years of knowledge in the medical field or ophthalmology preferred.
  • Must be able to work in a fast paced environment, able to multitask, and is detailed oriented.
  • Excellent interpersonal and patient care skills.
  • General knowledge of clinical and surgical procedures.
  • Good computer skills are required (knowledge of Nextgen is not required, however preferred).
  • Travel may be required based on the needs of the business.
  • Availability Monday - Friday
