Job Duties

Completes the Admitting process and other assigned tasks daily:
Takes request data information for beds from physicians and /or offices, outlying hospitals and internal departments
Screens for medical necessity appropriateness for level of care for the healthcare system.
Completes the pre-admission info in Epic EMR Transfer Center Module.
Appropriately assigns patients to the correct nursing unit based on the patient’s diagnosis, admitting physician, and level of care.
Can function in multiple systems at a given time to ensure tasks are carried out timely.
Completes bed assignments to meet KPI for bed assignment needs for dept.
Activates PULSARA for systemwide STEMI needs
Activates Air Transport needs for the Healthcare System
Facilitates ground Transport needs
Enters GCHC Disaster Reporting
Maintains daily understanding for Healthcare System needs in Greater Cincinnati area via the GCHC radio system and Kentucky WEBEOC

Exhibits Excellent Customer Service Skills: Promotes positive relationships with all customers, both internal and external Follows scripting related to answering the phone and ensures phone etiquette while interacting with customers. Records calls to ensure quality needs. Displays a professional and friendly attitude at all times to those in and outside work area. Consistently goes above and beyond to meet customer needs in a timely fashion. Timely entry of all data
Performs census reconciliation at least once daily via GCHC
Escalates issues to supervisor or leadership when units do not respond timely to requests

Accurately Enters Demographic Information:
Accurately obtains patient demographic information and enters it into Epic.
Ensures accuracy to avoid creating duplicate medical records
Works to ensure the correct medical record number is used
Ensures discharge/readmits are used correctly to avoid financial billing concerns

Responsible for covering, and/or calling in employees when needed (i.e. sick, vacation, holiday, etc.) to meet The Patient Logistics Center needs in a cost efficient manner.

Responsible for on-the-job training of new Senior Admission Specialist. Responsible for information flow to update and reinforce procedures and changes to ensure quality work. Maintains knowledge level after training by keeping current on procedures pertaining to each area. Responsible for reading posted notices, memos, and emails. Attends department meetings/huddles.

Seeks to make improvements in work and assures that those improvements align with departmental and organizational strategy. Meets productivity requirements by answering phone calls in a timely fashion and responds to requests, recording all referral calls.

Qualifications
Education, Credentials, Licenses: High School Graduate

Specialized Knowledge: Medical Terminology Strong Communication Skills Ability to collaborate with a multidisciplinary team at various levels ranging from clerical staff to physicians and leadership Demonstrates Organizational Skills Public Relations/Customer Service awareness Ability to multitask EMR experience Good typing/ computer skills Maintain patient confidentiality Ability to deal with fast paced changing environment
Experience with Epic Experience with Microsoft Office Suit (Word, Excel, Outlook) Experience with Kronos Experience with Perfect Serve Familiarity with medical diagnoses

Kind and Length of Experience: Two years of experience in a healthcare setting including experience in a related area (i.e. admitting, registration, or clerical in nursing units or the emergency department). Experience working with multiple computerized systems in a fast-paced environment with the ability to multitask.
